The Opportunity: We are seeking to hire an Executive Assistant - CEO. Under the supervision of the CEO, this individual will perform a variety of secretarial and administrative support duties requiring computer proficiency in Microsoft Office applications, considerable independent judgment, a high degree of accuracy, and the ability to work with a 25-member Board of Directors. The Executive Assistant – CEO will prepare complex charts, detailed reports, and other administrative and board documents.
What You’ll Do:
- Schedule appointments for senior management staff, including the Chief Executive Officer and Medical Director, and coordinate meetings as required.
- Receive, screen, and route administrative telephone calls and assist walk-in visitors by ascertaining needs, explaining departmental policies and procedures, or referring them to appropriate staff as needed.
- Produce correspondence, memoranda, forms, etc. from written and dictated materials. Prepare and produce documents by compiling necessary data and information from a variety of sources. Proofread typed copy, correct grammar and punctuation as required.
- Schedule and/or coordinate CSS Board and Community Support Property Management Corp. committee meetings, assist Executive Council staff in preparing committee agendas, record minutes and distribute materials as needed.
- Organize and maintain paper and electronic administrative documents for Community Support Services and its various affiliated corporations.
- Provide back-up to the Executive Assistant to the CFO as needed. Fields and responds to general administrative support requests and questions, delegating tasks to individual administrative specialists as necessary and appropriate.
- Assist with conference and meeting room scheduling, physical room setup, maintaining meeting/conference room calendar, with other administrative assistance.
- Responsible for setting up and connecting all CSS Board of Director’s Video Conference meeting calls (Zoom, MS Teams, etc.) as scheduled.
- Sort and distribute mail and other materials when needed.
- This position is full-time (40 hours a week) working normal business hours.

What We’re Looking For:
- High School Diploma required. Bachelor's degree preferred..
- Minimum of five years of progressively more-responsible secretarial/administrative office experience or equivalent required.
- Ability to type 70 words per minute.
- Proficiency in taking meeting minutes.
- Proficiency with Microsoft Office Applications.
- Excellent organizational, attention to detail and communication skills.
- Ability to work in a team environment.
- Commitment to confidentiality, following rules of HIPAA.
- Skill in managing time and meeting deadlines.
