Position: Secretary to High School Dean of Students
Reports to: Assistant Principal
Work Schedule: 10 months
Summary of Position: This position reports to the Head Dean of Students and provides administrative support to all personnel in the Deans’ Office
Qualifications:
SKILLS are required to perform multiple tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: professional telephone etiquette and computer software (e.g. Microsoft Word, Excel, School-related software).
ABILITY is required to often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is moderate. Work Environment:

- High school diploma or equivalent
- Prior office experience required
- Must possess a positive, professional attitude
- Excellent communication skills, both written and oral
- Strong interpersonal skills with the ability to maintain emotional control under stress
- Excellent technical skills; must have knowledge of a variety of computer software and database applications (i.e., Word, Excel, PowerPoint, Synergy, etc. Google Drive)
- Good organizational skills; including the ability to schedule events
- Ability to handle sensitive and confidential situations; position requires demonstrated poise, tact and diplomacy
- Must possess ability to problem solve and prioritize office needs
- Ability to multi-task and work with multiple interruptions
- Spanish speaking preferred, but not required
- DISCIPLINE RESPONSIBILITIES
- Ensure that all discipline letters (e.g., Suspension, Saturday detentions etc.) are accurately and efficiently completed and mailed to parents/guardians
- Maintain discipline files of students
- Maintain detention log
- Prepare weekly Saturday Detention list
- Maintain complete confidentiality
- PARKING RESPONSIBILITIES
- Assist Administrative Assistant to Assistant Principal as directed
- LOCKER RESPONSIBILITIES
- Preparation and dissemination of locker information to incoming freshman class
- Update data base with any lock/locker changes
- Report any locker problems to maintenance
- LUNCH RESPONSIBLILITES
- Review student lunch schedules status as appropriate
- Ensure lunch staffing lists are ready and distributed in a timely manner
- TEACHER ASSISTANT RESPONSIBILITIES
- Review T.A. applications for accuracy
- Approve and disseminate completed applications to appropriate personnel
- Distribute TA badges to appropriate coordinators
- Create/update Excel spreadsheet with T.A. information
- REPORTS
- Create weekly selective discipline reports for dean
- Create daily suspension reports
- Prepare End of Year suspension report for State of Illinois
- Prepare Parent/Guardian State Pupil Transportation Reimbursement report
- STUDENT HANDBOOK RESPONSIBILITIES
- Assist Administrative Assistant to Assistant Principal as directed
- MISCELLANEOUS
- Prepare and maintain building emergency material
- Other duties as assigned by deans
- Fills in for attendance secretary during break and lunch periods
- Back up attendance secretary when requested
