Schedule: Monday-Friday 8:00am-4:30pm
PAY RATE: $17.20-$20.20/hr.
Reports to: Clinic Manager
Accountable to: Foothills Clinic Manager, Vice President/COO
Position Overview:
The Confidential Secretary plays a key role in supporting the Clinic Manager by ensuring smooth daily operations and delivering exceptional customer service. This position requires professionalism, strong organizational skills, and a commitment to providing a welcoming and efficient experience for patients and visitors. The role involves receptionist duties, administrative support, clerical tasks, and data processing, all while maintaining a patient-centered approach.
Key Responsibilities:
- Customer Service & Front Office Support:

- Serve as the first point of contact for patients and guests, providing a warm and professional welcome.
- Manage receptionist duties, including scheduling, greeting patients, billing, and typing.
- Handle communications with professionalism and efficiency.
- Address patient inquiries and concerns, ensuring a high level of service and satisfaction.
- Track and send service satisfaction surveys to assess and improve patient experience.
- Maintain discharge and same-day status lists, ensuring appropriate follow-up communication.
- Administrative & Clerical Duties:

- Sort, read, and distribute mail in a timely manner.
- Maintain organized and accurate files, correspondence, and records.
- Provide secretarial support to clinical staff as needed.
- Complete Safety Surveillance checklists and communicate any immediate concerns.
- Coordinate medication refill requests and follow up with pharmacies on behalf of prescribing providers.
- Data Processing & Office Coordination:

- Perform electronic data processing tasks with accuracy.
- Execute various typing and clerical duties as assigned by administrative personnel.
- Participate in staff meetings and contribute to team collaboration efforts.
Qualifications:
- High School Diploma or equivalent required.
- Minimum of one year of secretarial experience, with proven proficiency in electronic data processing.
- Strong interpersonal and communication skills with a focus on customer service.
- Ability to multitask, maintain confidentiality, and work efficiently in a clinical environment.
