About the RoleWe are seeking a highly organized, proactive, and professional Office Administrator to ensure the efficient day-to-day operation of our office. This individual will serve as a central point of contact for administrative tasks, agent support, communication management, and upholding our company’s high standards of service and brand consistency.If you enjoy building systems, staying ahead of tasks, and keeping operations running smoothly, we’d love to hear from you.Key ResponsibilitiesDaily Office OperationsOpen the office each morning and ensure it is fully operational by 8:00 AM.Monitor and respond to general office voicemails and emails in a timely, professional manner.Ensure all office systems and equipment are ready for daily use.Communication & SupportAnswer incoming phone calls courteously and direct them to the appropriate party.Greet agents, clients, and guests with a professional and friendly demeanor.Communicate with agents as needed, providing information, assistance, and support to ensure a smooth experience.Administrative & Office ManagementMonitor inventory and usage of office supplies; place timely orders to avoid shortages.Maintain relationships with office vendors and service providers.Provide administrative support and task tracking using internal project management tools.Oversee facilities-related needs for both the main office and satellite office locations, including maintenance coordination and supply oversight.Executive SupportManage calendars for the President and VP of Operations, including scheduling meetings, confirming appointments, and sending reminders.Coordinate internal meetings, events, and external vendor communication.Provide general administrative support for executive projects and initiatives.Agent Onboarding & SupportSupport the onboarding of new agents by coordinating internal processes and ensuring all setup steps are completed.Share onboarding materials and be a point of contact for agent questions.Maintain ongoing communication and assist agents with administrative needs throughout their time with the company.QualificationsPrior experience in office administration or executive support preferred.Strong written and verbal communication skills.Highly organized, detail-oriented, and able to manage multiple priorities.Proficient with standard office software and project management tools.A proactive approach with the ability to work independently and as part of a team.Discreet and professional when handling confidential information.BenefitsComprehensive health insurancePaid vacation and personal time401(k) retirement savings planAdditional employee perks and professional development opportunitiesWhy Join Us?You’ll be part of a dynamic, team-oriented workplace where your contributions matter.
