The  Patient Coordinator is a key team member, responsible for providing an exceptional patient experience from the moment they inquire about services. This role involves managing patient scheduling, handling inquiries, maintaining patient records, and ensuring a smooth and efficient clinic operation. The ideal candidate is highly organized, has excellent customer service skills, and is familiar with medical spa services such as skincare treatments, injectables, and laser therapies.

Key Responsibilities

  • Greet patients with a friendly, professional demeanor upon arrival and ensure they feel welcomed and comfortable.
  • Manage day-to-day office operations, ensuring smooth and efficient administrative processes, including patient management software.
  • Complete patient check-in / check-out procedures with each patient.
  • Answer patient inquiries via phone, email, and in-person, addressing concerns and providing guidance about treatments, services, and aftercare.
  • Follow up with patients regarding their treatment progress, appointments, and satisfaction.
  • Schedule patient appointments for consultations, treatments, and follow-up visits while ensuring optimal calendar management for providers.
  • Confirm appointments, send reminders, and handle cancellations or rescheduling as necessary.
  • Coordinate with providers to ensure adequate time and resources for each patient visit.
  • Collaborate with team members to support marketing and office projects.
  • Assist with promotions, specials, and upsell opportunities to encourage repeat visits and the adoption of new treatments.
  • Provide information on membership packages, seasonal offers, or loyalty programs to patients.
  • Track patient satisfaction and gather feedback to help improve services and offers.
  • Take initiative and contribute to the growth and efficiency of the business.

Essential Qualifications and Skills

  • At least one year of experience in a patient coordinator / front desk position within a spa setting.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficiency in using marketing and office software tools, Google Suite.
  • Experience with social media management and content creation
  • Preferred Skills and Experience

  • Knowledge of Medical Spa services and treatments.
  • Word Press, Canva
  • Knowledge of CRM systems and digital marketing analytics.
  • Compensation and Benefits Package

  • 18-$23 / hour based on experience
  • Incentive plan driven by product and treatment sales.
