RECEPTIONIST/SECRETARY
Job Summary: Performs receptionist and clerical duties, assisting the administrative staff as needed and assigned.
Reports To: Branch Manager, Branch President, Clinical Supervisor
Responsibilities:
- Is compliant with all policies, procedures, and regulations set by the Federal and State governments, the agency, and other regulatory agencies, i.e. OSHA, Worker’s Compensation, state licensure and labor laws.
- Receives and transfers phone calls, takes messages; serves as greeter to visitors, employees and applicants.
- Responsible for clerical duties in preparation for correspondence or reports.
- Verifies licensure of physicians.
- Tracks inventory and orders office supplies and stock medical supplies as directed by Clinical Supervisor.
- Batches, verifies and submits OASIS transmissions weekly. Runs Allscripts reports as directed by Branch President, Branch Manager and Clinical Supervisor.
- Receives daily mail, sorts and distributes appropriately and in a timely manner.
- Faxes paper orders to physicians for signature and tracks in Allscripts program to resend per policy when not returned.
- Acts as a backup for Document Manager as needed
- Assists with time log assignment completion as needed.
- Maintains strict confidentiality of information relating to clients, employees, and the agency.
- Actively pursues customer satisfaction for clients, employees, and visitors to the agency.
- Approaches tasks with a positive and flexible attitude and practices team behaviors.
- Follows the agency’s Code of Ethics and Clients Rights.
- Maintains continuing education as required by state licensure standards and provides documentation of same.
- Performs other duties as assigned by the Branch President.
Job Requirements:
- Able to present professionally to customers in person and on phone.
- Knowledge of agency policies and procedures.
- Knowledge of word processing and spreadsheet software.
- High school diploma or equivalent.
- Highly organized and able to manage multiple tasks.
- Able to use a computer, telephone and voice mail, fax machine, , postage meter and other office equipment.
- Able to lift 50 pounds of office supply deliveries etc.
- Able to demonstrate good written and oral communication skills.
- Able to promote strong interpersonal relationships and to deal with the demands of the position.
- Able to organize self and work product effectively.
Job Type: Full-time
Pay: $15.00 - $16.00 per hour
