Compliance Insight is a well-established and growing regulatory affairs and compliance consulting services company specializing in pharmaceuticals, medical devices, and biologics, actively seeking a Project Coordinator to become a member of the project management team who supports project managers by overseeing and performing administrative tasks, communicating with stakeholders and ensuring resource availability for the project team.

As an Account Executive, you’ll embody these values by being an effective communicator while building genuine rapport, ensuring every prospect feels valued and understood.

Responsibilities

  • Assist the project manager in the development of project management documents such as project budgets, project schedules, scope statements and project plans. Proficient in data analysis and performance tracking tools. Execute project coordination tasks such as: Prepare and manage project status reports and presentation materials for meetings; Prepare, maintain, and monitor project reports, status reports (Midweek Update-MWU), project flow charts, schedules and work hours. Update tracking reports (Project Tracker)
  • Strong leadership and team management abilities. Meeting with project team to assess their needs and define project requirements, acceptance criteria and project timelines; Ensure project deadlines are met. Work with project manager to minimize/eliminate roadblocks.
  • Ability to work collaboratively with technical teams. Coordinate the allocation and/or procurement of project resources and assist with resource scheduling to ensure the project team has what’s needed at the right time e.g., organizing staff and consultant travel arrangements, technical equipment, etc.; Create company formatted CVs, update consultant capabilities.
  • Strategic thinker with a results-driven mindset. Help project managers monitor project progress, team members’ performance, and provide updates to internal project stakeholders.
  • Review tasks with team members and help them understand what’s expected from them in terms of project milestones and deliverables.
  • Ability to thrive in a dynamic and fast-paced work environment, adapting to changing priorities and demands.
  • Schedule, organize, and participate in new project meetings and other client calls, stakeholder meetings, document and generate reports.
  • Executes conference support and coordination of logistics.
  • Foster cross-team collaboration to help project team members complete project tasks and produce deliverables.
  • Strong analytical and problem-solving skills with the ability to interpret data and trends.
  • Excellent written and verbal communication skills, with the ability to convey complex information in a clear and concise manner.
  • A proactive attitude and willingness to take on new challenges.

Skills and Requirements

  • Communication skills: The project coordinator interacts with many individuals throughout the life cycle of the project, such as project managers, project sponsors, stakeholders and of course, the project team. For this reason, the project coordinator must demonstrate excellent communication skills.
  • Problem-solving skills: There will be issues, challenges and different types of problems, big and small. For this reason, the project coordinator must have problem-solving skills that allow them to quickly come up with solutions and strategies.
  • Change management skills: As projects are executed, there are many variables to control, and many situations that might force the project management team to make changes to the original project plan. The project coordinator must be able to adapt to these changes.
  • Organizational skills: Project coordination, as its name suggests it’s a demanding field that requires organizational skills such as time management, delegation, planning, goal setting and decision-making, among others that’ll help the project coordinator be on top of his/her own duties and responsibilities and monitor the performance of others.

Qualifications

  • Bachelor’s degree in business administration, management or a related field
  • 3-5 years’ experience in project coordinator role.
  • Project management certifications beneficial: Certified Associate in Project Management (CAPM), project management professional (PMP) or similar
  • Working knowledge of project software
  • Proficiency with Microsoft Office suite
