Job Summary
We are seeking a highly organized and professional Receptionist/Secretary to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced office environment.
Duties
- To support the administrative and direct services staff.
- To assist the Executive Director and Director of Compliance as directed.
- To answer telephone calls and greet all clients, visitors, and vendors in a cheerful, courteous, and professional manner.
- To direct incoming calls and messages to the appropriate staff.
- To ensure telephone answering machine is turned on and off within the appropriate time frames.
- To provide clerical support for the direct services staff by completing forms, narratives, reports and other documentation as needed.
- To assist the Parent Trainer as needed.
- To maintain adequate supplies of all forms in the supply cabinet.
- To ensure client files are shredded seven years after termination of the case.
- To seek prior authorization from immediate supervisor or designee for all hours worked in excess of 25 hours per week.
- To perform duties as assigned by the Executive Director and Director of Compliance.
Experience
- A high school diploma or equivalent with two years experience providing clerical functions in an office environment.
- Valid driver’s license.
- Proof of vehicle insurance.
- Clear driving record.
- Successfully pass a criminal, adult and child maltreatment central registry background check.
- Successfully pass a pre-employment drug screening.
- Regular and predictable job attendance.
- Ability to work both independently and as an active team member.
- Maturity and sensitivity to cultural and individual differences.
- Ability to maintain professional demeanor while exercising judgment and discretion on and off the agency’s work site.
- Ability to maintain confidentiality.
- Proficient with computer functions and software utilized by the agency.
