We are seeking a proactive and detail-oriented Administrative Assistant to support our growing team. This role is responsible for onboarding, training compliance, and office coordination across multiple locations. Responsibilities:
- Assist Practice Director with any on-going projects
- Conduct phone screenings and schedule in-person interviews for applicants.
- Oversee the onboarding process, including workstation preparation, orientation, I-9 management, and required training.
- Maintain compliance by updating and tracking completion of annual OSHA & Safety training, as well as Sexual Harassment Prevention Training.
- Manage the patient portal, ezAccess, assisting patients and staff with setting up or unlocking their account
- Keep office bulletin boards updated monthly across all locations.
- Plan and execute employee recognition events twice per month.
- Facilitate meetings with outside vendors such as 401K and benefit coordinators.
- Submit and track maintenance tickets, coordinating with vendors as needed.
- Manage the company’s general email inbox, forwarding inquiries to the appropriate departments.
- Monitor and order office, breakroom, and patient supplies, including snacks for staff and procedure rooms.
- Transport necessary items between office locations as needed.
Qualifications:
- Previous experience in office coordination or administrative support.
- Strong organizational and multitasking skills with high attention to detail.
- Proficiency in HR systems like ADP and Microsoft Office Suite.
- Excellent communication and interpersonal skills for working with employees, vendors, and leadership.
- Ability to track and ensure compliance with required training programs.
- Experience planning and executing employee engagement events.
- Valid driver’s license and ability to transport office materials between locations.
- Self-motivated, able to work independently while managing multiple tasks efficiently.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Expected hours: 40 per week
