Job Summary:
We are looking for a Clerical Support professional to assist with routine administrative duties in our Distribution Center. This role involves providing sales support, performing administrative tasks, assisting with human resources functions, and supporting records and payroll management. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
• SALES SUPPORT: Handle phone reception, enter call-in orders/hotshots (immediate orders), copying, laminating, and distributing documents
• Track and manage coupon records, create and maintain Track/Rank/Publish boards as required
• Prepare and distribute Sales Meeting Notices and handouts as requested
• ADMINISTRATIVE DUTIES: Coordinate employee/facility events, including catering and meeting room setup
• Handle mail/shipping, update phone directory, and ensure compliance with company audit guidelines
• Manage the flow of information throughout the day, including faxes, copying, and telephone communication
• Schedule conference rooms and support the inventory process as assigned
• Provide administrative support to Sales Center Manager and other leaders as needed
• HUMAN RESOURCES: Manage new employee orientation and on-boarding processes
• Collect, review, and disseminate new hire paperwork
• Print and post Open Requisition reports and ensure compliance with required postings (audit purposes)
• Track safety training and other HR functions, including DOT files and random drug testing
• RECORDS/PAYROLL: Maintain and update LCC codes/hour transfers in timekeeping system
• Ensure payroll approvals are obtained, monitor Kronos and payroll activities
• Track remote punch audit and ensure compliance with audit frequency
• Verify trimester incentives as requested for route assignments and other payroll-related tasks
• SECURITY: Maintain security door systems, visitor logs, badges, and access cards
• Maintain surveillance backup tapes and security programming
• Information Technology: Maintain phone system and voicemail, and request office equipment maintenance
Required Qualifications:
• High school diploma or GED required, some college preferred
• 2-5 years of experience in an automated office environment required
• Minimum 1 year of finance-related experience in an office environment required
• Basic computer skills, including Excel, Word, and PowerPoint
• Excellent phone etiquette and knowledge of multi-line phone systems
• Accurate data entry and strong organizational skills
• Bi-lingual preferred
• Ability to occasionally lift up to 50 lbs
• Must pass credit, criminal, and drug screening
• Flexible schedule required
