Pay Details: 18.00 per hour

As a Distribution Center Administrative Assistant, you will play a crucial role in ensuring smooth operations by handling routine clerical duties and providing vital administrative support. From sales coordination and human resources tasks to payroll management and IT support, you’ll be at the heart of the action, helping to streamline processes and maintain operational efficiency.
Key Responsibilities:
- Sales Support:
- Manage phone/reception duties, entering orders, and tracking coupons.
- Create and maintain Track/Rank/Publish boards and provide sales meeting notices/handouts.
- Administrative Duties:
- Coordinate employee and facility events, including catering and meeting room set up.
- Handle mail/shipping, update the phone directory, and support inventory processes.
- Provide administrative support to the Sales Center Manager and other leaders.
- Human Resources:
- Oversee new employee orientation and onboarding, ensuring all paperwork is reviewed and collected.
- Maintain DOT files, monitor random drug testing, and ensure all safety training and certifications are up-to-date.
- Records/Payroll:
- Manage timekeeping activities, including Kronos system tracking, payroll approvals, and incentive verifications.
- Ensure compliance with auditing guidelines and remote punch audit tracking.
- Security & IT Support:
- Maintain security systems, including door maintenance and visitor log management.
- Handle phone system and voicemail maintenance, as well as office equipment support.
Qualifications:
Required:
- High school diploma or GED (Some college preferred)
- 2-5 years of experience in an automated office environment
- Minimum 1 year of finance-related experience in an office setting
- Proficiency with basic computer applications (Excel, Word, PowerPoint)
- Strong organizational skills and attention to detail
- Excellent phone etiquette and knowledge of multi-line phone systems
- Ability to lift up to 50 lbs when necessary
- Ability to pass credit, criminal, and drug screening
- Flexible schedule required
- Bilingual (English/Spanish)
- Experience with Kronos timekeeping system
- Background in human resources or payroll processing
