Job Summary :
The Mailroom Clerk is responsible for handling a variety of mail and shipping tasks in a high-speed, high-volume environment. This role involves operating mail equipment, ensuring proper delivery and processing of mail and packages, and managing distribution systems. The ideal candidate will demonstrate excellent organizational skills, attention to detail, and a strong understanding of mailroom processes.
Key Responsibilities :
- Operate high-level mail equipment, such as mail inserters, sorters, and finishing equipment, in an automated high-speed, high-volume environment.
- Perform charge-back reporting for postage, air express, local delivery, and faxes.
- Handle production mail labeling, mail merge, and mailing address cleanup (including the use of mail cleansing software).
- Coordinate automated and manual processes for finishing and mailing client materials.
- Implement and maintain distribution and tracking systems to ensure efficiency.
- Use customized software to update and maintain mailing addresses.
- Conduct bar code address quality reviews for improved accuracy.
- Manage electronic input, packaging activities, and posting fulfillment in high-speed operations.
- Recommend improvements to optimize workflow and achieve cost savings.
- Act as the focal contact for special or unique mailings and shipments.
- Utilize specialized equipment for material handling when necessary.
- Receive, sort, and process mail documents, packages, and supplies, notifying recipients as required.
- Record and process accountable mail information, maintaining accurate logs.
- Track, trace, and resolve issues with USPS, express, and local delivery services.
- Prepare mail and packages for external shipment, coordinating deliveries and pickups (including USPS).
- Perform quality checks on outbound mail and validate internal mail addresses.
- Use common mail services, including fax, air express, and postal services.
- Complete shipping forms and / or enter data electronically in the shipping terminal.
- Perform finishing work on documents to be mailed, including folding and insertion.
- Manage electronic mail distribution (opening, mail prep, scanning, and distributing).
- Perform fulfillment tasks such as assembly, packaging, shipping, and tracking of kitted materials.
- Follow mailroom security procedures and track incoming mail / packages using barcodes or face scanning.
- Perform logging, transmission, receipt, and timely distribution of faxes.
- Monitor and replenish supplies inventory related to mail and distribution activities.
- Arrange alternative courier or shipping services to meet customer requirements.
- Fully operate, clean, and maintain all shipping and mail equipment.
- Contact service providers for mail and shipping equipment maintenance as needed.
