Job Summary :

The Executive Assistant will provide high-level administrative support to the Managing Directors and the Firmwide AI team. This role involves managing schedules, coordinating meetings, handling correspondence, and maintaining records. The successful candidate will be responsible for organizing travel arrangements, preparing presentations, and acting as a liaison between internal and external stakeholders on behalf of the executives. This role is ideal for someone with experience in large organizations and strong administrative skills.

Key Responsibilities :

  • Executive Support : Provide comprehensive administrative support to Managing Directors and the Firmwide AI team, ensuring smooth and efficient operations.
  • Schedule Management : Manage complex calendars and schedules for executives, including coordinating meetings, appointments, and events.
  • Meeting Coordination : Organize and coordinate meetings, including preparing agendas, taking meeting notes, and ensuring follow-up actions are executed.
  • Travel Arrangements : Make detailed travel arrangements for executives, including booking flights, accommodations, and ground transportation, while ensuring cost-efficiency and convenience.
  • Correspondence Handling : Manage and prioritize incoming emails, calls, and other communications on behalf of the executives.
  • Document Preparation : Prepare reports, presentations, and other documents for internal and external stakeholders.
  • Stakeholder Liaison : Serve as a point of contact between the executives and various stakeholders, both internally and externally, ensuring effective communication and relationship management.
  • Record Maintenance : Organize and maintain electronic and physical files, ensuring records are accurate, secure, and easily accessible.
  • Problem Solving : Identify challenges, anticipate needs, and proactively resolve issues to ensure smooth operations within the executive's office.

Required Qualifications :

  • Experience : At least 5 years of experience in an executive assistant or administrative role, preferably in a large organization.
  • Organizational Skills : Exceptional organizational and multitasking skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Communication Skills : Strong written and verbal communication skills, with the ability to communicate effectively with executives, internal teams, and external clients / stakeholders.
  • Problem-Solving Skills : Strong ability to anticipate issues and proactively resolve challenges to ensure smooth daily operations.
  • Technical Proficiency : Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and familiarity with other office software and communication tools.
  • Confidentiality : Ability to handle confidential and sensitive information with discretion and professionalism.
  • Preferred Qualifications :

  • Large Organization Experience : Experience working in large organizations, preferably in a global or multi-departmental environment.
  • AI / Technology Industry Knowledge : Experience or familiarity with AI or technology-related projects is a plus but not required.
  • Presentation Skills : Ability to create high-quality presentations and reports using advanced features of PowerPoint and other tools.
  • Certifications :

    Certification in Executive Assistance or related field (e.g., Certified Administrative Professional (CAP), or similar) is a plus but not required.
