Position Overview:
We are seeking a detail-oriented and organized Administrative Assistant to manage our Federal Firearms License (FFL) records, handle administrative tasks, oversee consignment processes, and support our gunsmithing operations. The ideal candidate will ensure compliance with federal and state regulations, maintain accurate records, and contribute to the efficient operation of our shop.
Key Responsibilities:
- FFL Record Management:
- Maintain accurate and up-to-date FFL records in compliance with ATF regulations.
- Conduct regular audits to ensure all firearm transactions are properly documented.
- Assist in preparing for ATF inspections and ensure timely responses to any inquiries.
- Administrative Duties:
- Manage daily office operations, including answering phones, responding to emails, and greeting customers.
- Maintain organized filing systems for both physical and digital records.
- Assist in inventory management and ordering of office supplies.
- Consignment Management:
- Oversee the intake and documentation of consignment firearms.
- Coordinate with customers to ensure clear communication regarding consignment terms and status.
- Maintain accurate records of consignment sales and settlements.
- Gunsmithing Support:
- Assist in scheduling and tracking gunsmithing projects.
- Manage customer communications related to gunsmithing services.
- Ensure proper documentation and tracking of firearms undergoing service.
Qualifications:
- Previous experience in an administrative role, preferably within the firearms industry.
- Strong understanding of FFL regulations and compliance requirements.
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office Suite and comfortable with learning new software systems.
- Strong communication skills, both written and verbal.
- Ability to handle sensitive information with discretion and maintain confidentiality.
Preferred Qualifications:
- Experience with gunsmithing operations or a strong interest in firearms.
- Familiarity with consignment sales processes.
- Knowledge of ATF eForms and other relevant compliance tools.

Pay: $15.00 - $18.00 per hour
Expected hours: 20 – 40 per week
Schedule:
- 10 hour shift
- 4 hour shift
- 8 hour shift
- Monday to Friday
- Weekends as needed
