EXAMINATION PROCESS
1. Training and Experience Evaluation - Pass/Fail

The Performance Examination will consist of document creation/revision utilizing Microsoft Office Word and Excel 2010, as well as an on-line multiple choice examination assessing fundamental knowledge for the position.
For those passing the General Fitness / Performance Examination:
3. Structured Oral Interview – Date: TBD
The Structured Oral Interview will be before a panel and contain questions that assess technical knowledge, experience, and one's general fitness for successful performance in the position.
A total score will be computed using weighted scores on all testing components. Applicants must receive a passing score on the oral examination to be placed on the 6 month-long eligibility list. The top 3 ranks (scores) on the eligibility list are eligible for the hiring interview for each vacancy in this classification within the life of the list.
NOTE: JOB SPECIFICATION IS UNDER REVIEW AND PENDING FORMAL REVISION. GENERAL DUTIES INCLUDE:
Perform specialized accounting and financial record-keeping duties to assure sound fiscal management of student body and other student-related accounts; assure compliance with applicable provisions of the California Education Code.
Collect and receipt monies related to student functions, including the student store, club accounts, ASB funds, student activities, yearbooks, concessions, dances, special student events, etc.
Perform various cashier, customer service and inventory duties in the operation of the student store; greet and assist customers; stock shelves and display cases with appropriate products as needed; utilize cash register, bar code scanner, credit card processor and currency counter.
Participate in the sale of various student items, including PE uniforms, locks, school supplies, class fees, ASB cards, student store merchandise, fundraisers, yearbooks, game and dance tickets, drama productions, and other matters from students, parents and the general public.
Maintain, verify and audit assigned accounts; review, adjust and assure accuracy of ledgers and journal entries; balance, adjust and reconcile accounts; monitor fund balances of assigned programs; audit accounts for errors and make appropriate adjustments.
Process accounts receivable in support of high school and ASB activities; collect, receive, verify, balance and process incoming cash, monies, deposits and receipts; issue and prepare receipts; count and record monies into proper accounts; prepare and make bank deposits.
Assist student body groups and clubs in setting up anticipated budgets to ensure controlled spending of expendable funds.
Establish and implement sound internal controls and general cash control procedures for the distribution of cash boxes and for cash (i.e. tickets, receipt books, etc.) before a fund-raiser begins and after it is over
Prepare, issue and process ASB purchase orders; disburse funds; utilize a computerized system to input checks, purchase orders and invoices related to financial responsibilities of a variety of student body activities; verify amounts and obtain proper signatures; mail checks in a timely manner.
Prepare and coordinate cash boxes for athletic events; balance and reconcile cash boxes; prepare tickets for distribution;
maintain and update W-9 files for sports officials; process payroll information for athletic officials and issues payments as assigned.
Prepares and presents periodic and year-end financial reports for all accounts as required and as requested by administration or the Governing Board.
Communicates with the Principal, Student Council, ASB Advisors, and District Business Office regarding financial reports as required and appropriate.
Closes the books at the end of each fiscal year (i.e. collects and deposits un-deposited funds, pays outstanding invoices, addresses outstanding purchase orders, assists with financial inventory of student store, verifies and balances all class and club accounts, prepares and distributes financial statements, etc.).
Communicate with suppliers, vendors, parents and others regarding procedures and related matters; communicate with department heads and administrators regarding student activities, collection of monies, auditing, budgeting and to exchange information; respond to requests for information and complaints as needed.

Experience:Extensive experience maintaining double entry account books and coordinating varied and complex business activities.
Education:
Persons with the experience, knowledge and abilities, as stated, are considered to have the necessary education.
*Alternate variations of education/experience may be considered by Personnel Commission staff as acceptable to qualify for participation in the examination process resulting in an eligibility list.Knowledge of:
Methods and practice of complex financial recordkeeping, business office practices, budgeting and auditing procedures; principles of supervision.
Ability to:
Perform accounting work of above average difficulty using independent judgment and initiative; prepare accurate financial and statistical reports and maintain a complete set of double entry accounting records; communicate clearly and concisely, orally and in writing; supervise the work of others; establish and maintain effective working relationships with students, administrators and parents; operate a computer, typewriter, calculator and other standard office equipment.
