The Property Operations Coordinator plays a vital role in managing property conditions, coordinating maintenance, and ensuring smooth operations. Duties And Responsibilities
Property Inspections & Documentation:
- Conduct property inspections (pre-move-in, new property, and eyes-on) and document conditions.
- Capture high-quality photos, create detailed reports, and ensure proper record-keeping.
- Identify necessary repairs, lease violations, and habitability concerns.
- Provide legal documentation for move-outs to determine tenant/owner responsibilities.
- Create and manage work orders in Appfolio and LeadSimple.
- Troubleshoot tenant-reported issues to determine if work orders are necessary.
- Communicate with vendors, tenants, and owners to schedule and oversee repairs.
- Ensure invoices are received, reviewed, and submitted for processing.
- Assist with appliance replacements, property turnovers, and maintenance requests.
- Maintain updated property records and vacancy trackers.
- Work closely with the Leasing, Resident Services, and Maintenance teams.
- Provide updates on property conditions, move-out inspections, and turnover progress.
- Manage key copies, lockboxes, and inventory for maintenance needs.
- Attend meetings and training sessions to contribute to process improvements.
- Maintain Clear Documentation: Keep all records clear, concise, timely, and collaborative, aligning with core values.
- Record & Share Findings: Ensure all inspection findings and turnover updates are properly documented and shared with the necessary Pods.
- Review & Update Each Shift: At the start of each shift, review previous inspections, update missing information, and send confirmations.
- Communicate with Leadership: Reach out to the Field Supervisor or Pod Leader with any questions or issues during the day.
- Engage with Stakeholders: When necessary, communicate with tenants or owners to resolve property access or inspection concerns.
- Support Collaborative Decision-Making: Share findings with Pods to determine the next steps and maintain efficient workflows.
- Making key copies and maintaining receipts.
- Ordering or picking up mail keys.
- Retrieving and returning lockboxes from properties.
- Posting 24-hour notices with timestamped photo proof.
- Conducting property drive-bys to check conditions, manage utilities, etc.
- Running field errands as needed.
- Managing warehouse inventory.
- Delivering or picking up small appliances.
