What are the responsibilities and job description for the Optometry Receptionist position at Confederated Tribes of Grand Ronde Comm?
Salary Wage Range: $20.75 - $26.42
- Provide reception for the Optometry Clinic by courteously meeting and greeting individuals presenting themselves to the Optometry Clinic.
- Verifies eligibility, insurance, alternate resource eligibility, and coverage, by contacting the patient's insurance carrier.
- Accurately conveys patient insurance benefits in regards to optical hardware.
- Schedules optometry appointments using the NextGen scheduling system.
- Works closely with Business Office staff, to accurately and timely enter charges for all-optical orders.
- Ensures collection of payment prior to ordering patients’ glasses or contact lenses; maintains optometry patient’s data integrity.
- Works with the Accounting Department to coordinate patient vendor payment activities.
- Accurately and timely compiles all lab fees and submits for payment.
- Ensures Optometry staff schedules are accurate.
- Records patient information regarding broken appointments and cancellations, along with maintaining a short call list of patients; manages fast call services.
- Provides secretarial/clerical support to the department.
- Prepares check requests and purchase orders.
- Maintains office supplies.
- Prepares correspondence, copying, and faxing; takes and routes accurate telephone messages.
- Opens, routes, and distributes mail in accordance with established policies.
- Ensures patient confidentiality.
- Performs basic frame measurements and adjustments necessary to assure cosmetically, physically, and optically optimum spectacle.
- Repairs simple damages to eyeglass frames.
- Performs a variety of other duties assigned by the supervisor, including helping to fill out prescription order forms and referral forms, and verifying prescriptions of contact lenses and glasses received from the optical laboratories.
- Is authorized to serve both eligible and non-eligible beneficiaries in an outreach capacity both on and off-site.
- May involve transporting native and/or non-native patients of the GRHWC in company vehicle as necessary.
- Performs a variety of other duties as assigned by supervisor.
Education, Experience, and Licenses:
- Requires a High School diploma or GED.
- Requires one (1) year of work experience in secretarial positions that include basic bookkeeping tasks.
- OR equivalent combination of education, training and experience.
Driving Requirements:
- Must maintain a valid Oregon driver’s license or obtain one upon hire, qualify for the Tribe’s vehicle insurance, and provide proof of personal vehicle insurance.
Qualifications, Registrations, and Certifications:
- Requires First Aid and CPR certificate within first 90 days of hire.
- Requires knowledge of fax machine, copy machine, visa machine, 10 key, and multi-line telephones.
- Must have good communication and interpersonal skills.
- Knowledge of Electronic Health System is preferred.
- Knowledge of and sensitivity to Native American culture is required.
Environmental Factors and Conditions/Physical Requirements:
- Continually requires the ability to express or receive detailed information or important instructions through oral communication.
- Continually requires color identification and close vision.
- Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers. Requires walking or moving about to accomplish tasks, including bending, crouching, and twisting
- Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally.
- Occasionally requires lifting of up to 20 pounds. Frequently requires lifting of up to 10 pounds.
- Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations.
- This position is frequently subject to inside environmental conditions which provide protection from weather conditions, but not necessarily from temperature changes, and is occasionally subject to outside environmental conditions.
- May be called upon to serve as a Disaster Reservist during emergencies.
- Local travel is required. Travel outside of the state is infrequently required.
