We are seeking a detail-oriented, professional Administrative Assistant to support the operations of the Behavioral Health Department. This role combines administrative, technical, and client-facing responsibilities, requiring excellent organizational skills, reliability, and a welcoming demeanor.
**Key Responsibilities:**
- Provide administrative and clerical support for all programs and providers within the Behavioral Health Department.
- Act as the primary office contact for clients, facilitating communication between clients and staff.
- Assist clients in person and over the phone by explaining services and processes clearly and effectively.
- Work collaboratively with professionals across local, state, tribal, and federal levels.
- Ensure accurate and timely processing of all paperwork.
- Answer telephones, manage the message delivery system, and refer calls appropriately.
- Operate a central switchboard, greet visitors, and respond to public inquiries in a professional, welcoming manner.
- Check clients in and out for appointments, verify insurance, and update electronic health records.
- Contact patients to gather necessary documents, provide appointment details, and screen initial service requests.
- Maintain the cleanliness and organization of the front office and waiting area; ensure brochures and magazines are stocked.
- Develop, organize, and maintain filing systems, including patient charts, per agency and billing standards.
- Compile and submit billing documents, verify patient eligibility, and follow up where necessary.
- Provide clerical support, including routing mail, checking court reports for accuracy, and assisting with purchasing documentation.
- Create and maintain databases for urine screens, confidentiality forms, payers, and case assignments.
- Operate and troubleshoot office equipment (e.g., calculators, copiers, computers, fax machines).
- Order and manage inventories of office, cleaning, and food supplies through the Workflow Module/Microix system.
- Compile and deliver sensitive documents, such as consulting psychiatrist notes, to the Chehalis Tribal Wellness Center in a confidential manner.
- Proctor and package urine and hair sample screenings, ensure compliance with procedures, and maintain manual records.
- Ensure timely and accurate documentation in charts and handbooks, including billing and TARGET system requirements.
**Safety and Policy Compliance**
- Monitor the implementation of departmental safety policies and ensure compliance with established procedures.
**Qualifications:**
- Ability to work well with clients of varying needs.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
-A High School diploma or GED with four (4) years directly related experience required. An Associate’s Degree in related field with two (2) years directly related experience may be substituted.
-Knowledge of medical/behavioral health billing practices, and general knowledge of third-party payers preferred.
-Prefer experience with American Indian/Alaska Native communities.
