Job Summary
We are seeking a detail-oriented and organized Accounts Payable Specialist to join our finance team. The ideal candidate will be responsible for managing the accounts payable process, ensuring timely and accurate payments to vendors, and maintaining financial records. This role requires strong analytical skills, attention to detail, and proficiency in accounting software.
Responsibilities
- Import and post PO’s/VPO’s from Bild Flo to Sage – daily
- Check Positive Pay – Bank accounts – daily
- Reconcile checking account(s) – weekly/monthly (BRG, TRA, PRE)
- Process Lot Closings (purchase)
- Prepare weekly check run
- Prepare and process Draw Requests
- Prep Accounting files for closing (Pre-close verification of info)
- Send signed closing docs, Keys, Survey, RWC info to closing
- Prepare Final Sworn for closing
- Balance final closing figures with Title Company closer
- Post Close job (House)
- Track Work Completion escrows – order inspections; follow up on receivables
- Deposit City Escrow checks; update Bild Flo
- Make entries for Deposits into Sage: Cash Management and Job Costs
- Review Property tax statements: enter in Sage and pay when due (twice yearly)
- Research subcontractor/vendor inquiries regarding payments
- Monitor Accounting email box; distribute/process invoices
- Run Sage: Job Cost Month End (first of next month)
- Set up new subcontractors (W-9’s and ACH) in Sage; send New Subcontractor information out once work is begun
- Process and distribute year end 1099’s
- Write/update AP procedures
Experience
- Proven experience in accounts payable or a similar financial role is preferred.
- Familiarity with human resources functions is a plus.
- Experience with SAGE or similar payroll systems is advantageous.
- Strong knowledge of accounting principles and practices, particularly in accounts payable processes.
- Proficiency in accounting software is essential for managing financial records effectively.
- Proficiency in Microsoft Excel
