Job Summary:
The Accounting/Office Assistant supports day-to-day accounting and administrative operations to ensure the office runs efficiently. This role involves handling basic accounting tasks, maintaining office supplies, and assisting staff with clerical tasks. Key Responsibilities
Accounting Duties:
- Process variety of accounts payable transactions, ensuring timely and accurate entries.
- Reconcile monthly vendor statements and identify discrepancies.
- Process all non-billable service reports.
- Input and maintain accurate records in accounting software (QuickBooks).
- Support month-end and year-end financial reporting activities by verifying entries and supplying information to Accountant.
Administrative Duties:
- Prepare reports and memos as required.
- Sort and distribute mail.
- Manage and maintain office supplies inventory and place orders as needed.
- Organize and schedule meetings, appointments, and travel arrangements.
- Maintain digital filing system.
General Support:
- Collaborate with team members on special projects and events.
- Provide customer service by addressing client inquiries and concerns.
Qualifications:
Education:
- High school diploma or equivalent (Associate’s degree in Accounting, Business Administration, or related field preferred).
Experience:
- 1-2 years of administrative or accounting experience preferred.
- Proficiency with accounting software and MS Office Suite (Excel, Word, Outlook).
Skills:
- Ability to analyze financial data and perform account reconciliations.
- Strong organizational skills and ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with integrity.

Working Conditions:
- Casual office environment - 8-hour days, Monday-Friday.
- May require occasional overtime during busy periods (e.g., end-of-month closings, end-of-year closings).

Pay: $45,000.00 - $52,000.00 per year
