The Role:
As the Executive Assistant to the Chief of Staff, you’ll play a critical role in driving efficiency, organization, and execution at the highest levels of the company. You’ll handle a wide range of responsibilities, from managing schedules and events to preparing high-impact communications and reports. This is a role for someone who thrives on variety and values precision, confidentiality, and teamwork.
Key Responsibilities:
- Manage the Chief of Staff’s calendar, including scheduling meetings, calls, and events, while optimizing time management and prioritizing critical tasks.
- Coordinate and prepare data-driven reports, presentations, and materials for meetings, ensuring accuracy, professionalism, and engagement.
- Arrange travel logistics, including flights, accommodations, and itineraries for the Chief of Staff and other executives as needed.
- Maintain an organized filing system for both digital and physical documents, ensuring secure storage and easy access to confidential files and information.
- Oversee day-to-day administrative task ensuring smooth office operations.
- Assist in budget tracking and expense management, providing detailed reports and tracking business expenditures.
- Assist the Chief of Staff with cross-functional projects and initiatives across multiple business entities, ensuring key deadlines and milestones are met.
- Assist with event management for company meetings and executive off-sites, handling.
- Assist in creating engaging, visually impactful presentations for the Chief of Staff and executive team, ensuring they effectively communicate key messages, data insights, and strategic objectives.
- Prepare and distribute agendas, minutes, and action items for meetings, ensuring follow-up and accountability on key tasks.
- Handle extremely confidential information with the utmost discretion and professionalism.
- Draft and proofread company-wide communications, ensuring the messaging is aligned with company values and objectives.
Qualifications:
- Proven experience as an Administrative Assistant, preferably supporting C-level executives or in a fast-paced corporate environment.
- Highly organized with exceptional attention to detail and the ability to manage multiple projects simultaneously.
- Strong ability to analyze data and create visually appealing, engaging presentations using Microsoft PowerPoint and other tools.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with virtual meeting tools and advanced calendaring systems (e.g., Zoom, Teams, Google Calendar).
- Demonstrated ability to handle confidential information with integrity and discretion.
- Excellent written and verbal communication skills with a keen ability to follow through on tasks and ensure deadlines are met.
- Event management experience, including planning and executing company-wide meetings and events.
- Bachelor’s degree preferred, or equivalent work experience.
Work Environment:
This position operates in a professional office environment and may occasionally require flexible hours to accommodate time-sensitive projects and events. Limited travel may be required for company events and meetings.
Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
