Job Summary
We are seeking an organized and proactive Office Administrator to join our team. The Office Administrator will be responsible for overseeing the daily operations of the office, ensuring efficiency and effectiveness in all administrative tasks.
Responsibilities
- Manage office operations and procedures to ensure organizational effectiveness
- Accounts payable and receivable, credit card reconciliation
- Handle incoming calls, emails, and other communications
-Work directly with both dealers and end users to ensure their product is received in a correct and timely man
-Assist with documentation involved in the purchasing, tracking, and receiving of all parts for customer warranty issues
-Track all warranty related processes from inception to completion.
-Coordinate the movement of units between third party vendors for sublet completion.
-Advise customers on substitutions or modifications of parts when identical replacements are not available.
-Advise customers on the parts within their units and any questions they may have pertaining to those parts and equipment.
-Complete documentation of any returns, exchanges or refunds required for defective or damaged parts.
-Assist production and purchasing with any needs that may arise to get unit completed accurately and thoroughly.
-Create delivery documents for end users. (i.e., MSO, Act of Sale, Warranty, MFG tags, etc.)
-May be required to assist in monthly, quarterly, semi-annual, or annual inventory.
-File paperwork by customer and create follow up notice.
-Assist Purchasing on receive parts on arrival, matching packing slip to Purchase Order. Tag parts and place parts on shelf.
-Inspect products or materials, parts and packaging for damage, defects or shortages then perform the necessary corrective actions.
-Work with all freight companies to ensure most efficient operations for outbound shipments.
-Return defective or misidentified parts to vendor for credit and manage the core credit program.
-Adhere to all company policies and procedures.
-Perform other duties as assigned by manager or supervisor
Skills
- Proficient in AP, AR, CSR and warranty
- Excellent calendar management skills
- Strong communication abilities both written and verbal
- Knowledge of phone systems and phone etiquette
- Familiarity with training development processes
- Ability to handle multiple tasks simultaneously
Job Type: Full-time
Pay: $19.00 - $22.00 per hour
Expected hours: No more than 45 per week
