JOB SUMMARY:
The Operations Administrative Assistant is responsible for overseeing various plant activities, including administrative tasks, production entries into the ERP system, and managing timecards. This role supports staffing needs, scheduling for optimal production and equipment utilization, and requires proficiency in Microsoft Excel.
This is a 3 month temporary role with the potential for long-term extension.
JOB DUTIES:
- Handle all purchasing within the warehouse/plant, including consumables, supplies, pallets, etc.
- Maintain inventory records and ensure timely reordering of supplies.
- Create/prepare work orders in Globe to distribute to the floor, in a timely manner
- Monitor progress of ongoing production and expedite orders or modify schedule to meet customer demand.
- Contact staffing agencies as needed, to request production staff.
- Generate weekly timecards for temporary employees.
- Ensure day by hour production board is updated and utilized on box lines.
- Work with Plant (Site) Manager on production and shipping schedules.
- Work with Plant (Site) Manager as needed to coordinate truck shipments, creating packing slips and bills of lading.
- Responsible for following the daily schedule, coordinating truck shipment and messenger services and creating packing slips and bill of lading.
- Ensure daily completion of incoming paperwork, inspection and confirmation of certifications (as required) and reconciliation of receiving and purchasing documentation.
- Work on any projects assigned by Plant (Site) Manager.
MINIMUM QUALIFICATIONS:
- Minimum Education requirements: High School Diploma or General Education degree (GED). Associate degree or recent college degree preferred.
- Related experience as an administrative assistant or in a similar role, preferably in a manufacturing/plant capacity, or an equivalent combination of education and experience. Will consider recent college graduates.
- Proficiency in Microsoft Office Suite, especially Excel
- Must have technical skills, knowledge of manufacturing and shipping processes and basic computer skills.
REQUIRED COMPETENCIES:
- Able to manage strict deadlines
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team.
- Must be highly organized and function with little managerial direction
- Able to multi-task and take approaches from multiple sources
- Assist in the execution of the Safety Management System
- Extremely detail-oriented
