The Practice Manager provides oversight of the Clinic Operations, which includes but it’s not limited to administrative oversight of all staff at the center, billing and accounts, patient advocacy, adherence to company policies and procedures, coordination of office activities and support services. Works in conjunction with the site clinical team to ensure efficient patient flow, manage center time sheets and employee PTO requests, and coordinate facilities operations.
Skills / Ability:
Ability to work independently. Must have proven management and supervising skills. Intermediate knowledge of Microsoft applications.

Duties and Responsibilities (THIS IS AN EXCEMPT POSITION)
- Provides direct supervision to staff as assigned including hiring, terminating, conducting performance reviews, recommendation of salary increases, review and approval of employee's timecards and approving personal time off (PTO) requests on a bi-weekly basis.
- Responsible for exercising independent judgment and discretion about matters of significant impact to the operations.
- Handles confidential information including patient information in an ethical and professional manner.
- Ensures that all licensure and communications posted in the facility are up to date including federal, state and local regulations (fire and life safety, business tax and occupancy, etc.).
- Approves and submits pending invoices to accounting department promptly.
- Opens and follows up any outstanding IT or Facilities service issues.
- Oversees and maintains a safe environment for employees, patients, and visitors.
- Administers HIPAA (Health Insurance Portability and Accountability) training and compliance.
- Maintains office supply inventory by checking stock to determine inventory level.
- Maintains sufficient medical supplies for the proper treatment of patients.
- Works with billing company to assure proper billing of claims.
- Works closely with physicians and supervises staff to ensure patient satisfaction. Addresses patient concerns regarding medical treatment within the center.
- Oversee and manage the financial treatment plans for patients based on physician’s treatment recommendations.
- Ensures that all employees conduct themselves in accordance with the policies established by the company. Administers disciplinary action according to company policy and maintains documentation in employees’ file.
- Ensures that all staff is dressed in accordance to Uniform & Dress Code policy.
- Ensures that all employees answer phone calls timely and demonstrate exceptional customer service.
- Responsible for opening/closing of the health center.
- Establishes work schedules and assignments for staff according to workload, space, and equipment availability.
- Coordinates and directs balance of daily financial closing and ensures that all procedures and payments are posted accurately by staff.
- Performs voids, corrections on payments, and refunds.
- Must be available to represent the Company in community events.
- Responsible for managing all correspondence (fax, mail, email, portal, etc.) directed to the center.
- Performs other duties as assigned.
Qualifications / Education / Licenses
- Bachelor's degree or over 2 years of experience in healthcare administration.
- At least two (2) years of supervisory experience in a healthcare setting. Knowledge of healthcare operations and billing.
- MS Office programs experience.
- Use relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines and standard accepted practices.
- Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
