We are seeking a highly organized, detail-oriented, and resourceful individual to join our team as a Hybrid Recruitment Coordinator / Executive Assistant. This dual-role position requires a unique blend of administrative expertise and recruitment coordination to support the CEO and our fast-paced, growing organization. You will play a critical role in keeping our operations on track, managing schedules, and facilitating seamless communication between clients and third-party consultants.
Key Responsibilities:
Executive Assistant Responsibilities
- Manage the CEO’s complex calendar including meetings, appointments, travel, and events.
- Anticipate scheduling conflicts and proactively offer solutions.
- Handle confidential information with discretion and professionalism.
- Draft and manage executive communications, meeting notes, and follow-ups.
- Help the CEO stay organized with project deadlines, internal initiatives, and business priorities.
Recruitment Coordinator Responsibilities
- Support the end-to-end recruitment process including scheduling candidate interviews and coordinating with hiring managers.
- Maintain and update applicant tracking systems (ATS) and recruiting dashboards.
- Coordinate onboarding logistics for new hires.
- Communicate with candidates, ensuring a professional and timely experience throughout the hiring process.
Liaison and Project Coordination
- Serve as the main point of contact between the CEO, third-party consultants, and clients.
- Schedule and coordinate meetings with external stakeholders and ensure pre- and post-meeting action items are tracked.
- Facilitate smooth communication and project execution between clients and external recruitment or consulting partners.
- Ensure timely follow-up and documentation across key recruitment and consulting engagements.
Qualifications:
- 2 years of experience as an Executive Assistant, Recruitment Coordinator, or similar role.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office, Google Workspace, and calendar management tools.
- Experience with applicant tracking systems (ATS) and CRM platforms is a plus.
- Ability to work independently and maintain professionalism in a remote or hybrid environment.
