Description
The role of the Accounts Payable Specialist involves providing financial, administrative and clerical support to the organization. His / her role is responsible for processing invoices, verifying approvals, schedule timely payments, reconciling vendor statements and monthly accruals, ensuring accuracy and compliance with company policies and financial regulations. This role requires attention to detail and ability to work in a fast-paced environment.
Essential Functions
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Essential functions for this role include but are not limited to the following :
- Process vendor bills by obtaining approvals and verify expenditure from the appropriate department heads / budget owners, and enter bills in NetSuite system, including but not limited to PO and non-PO purchases, inventory purchases, and intercompany purchases.
- Reconcile processed work by verifying entries, ensure proper coding, three-way matching invoice process, maintain historical records.
- Verify and process expense reports submitted by employees.
- Prepare weekly payables schedule for Controller’s review and approval.
- Manage vendor records in systems, maintain up-to-date status and generally respond to vendor enquiries regarding finance.
- Reconcile credit card statements, prepare month-end schedules reconciled to general ledgers
- Prepare analysis of accounts and produce monthly accrual reports
- Work with vendors and internal departments to resolve discrepancies and improve the AP process.
- Assisting in department projects, audit, and other accounting tasks as needed.
Quality Training Requirements and Responsibilities
Responsible for maintaining up-to-date knowledge of relevant Quality Management System (QMS) procedures and supporting QMS processes as required.

Work Environment
This is a remote with optional hybrid work out of company office in San Diego, California or Houston, Texas. The company might also require on-site participant for physical inventory count twice a year out of either office locations.
