The Compliance Coordinator is essential in ensuring the smooth operation of special education services by managing IEP compliance, documentation, and meeting schedules. This role contributes to creating a supportive, organized, and legally compliant environment for teachers and students receiving special education services. The Compliance Coordinator oversees and manages all aspects of special education records, compliance, and IEP processes. This role ensures that all special education documentation is accurate and complies with federal, state, and district regulations. This role will coordinate a master schedule for IEP meetings and ensure proper notification and team member participation. Responsibilities will also include managing Learning Support sections and EDPlan support.

The Compliance Coordinator oversees and manages all aspects of special education records, compliance, and IEP processes. This role will coordinate a master schedule for IEP meetings and ensure proper notification and team member participation. Responsibilities will also include managing Learning Support sections and EDPlan support.
Key Responsibilities
- Records Management
- Create a system for record requests that ensures historical documentation and timely receipt of up-to-date special education records for SCCA students.
- Ensure that all student records are organized in EDPlan.
- Create a system for records storage in SPED DVs that is organized and promotes accessibility for staff, families, and authorized personnel.
- Manage the transfer of records for students who move into or out of the district.
- IEP Compliance (Reporting & Review)
- Helps ensure that all Individualized Education Plans (IEPs) are developed and implemented in compliance with federal, state, and district guidelines.
- Assists with oversight of the reporting and review of IEPs, ensuring that they meet legal requirements and are updated within mandated timelines.
- Supports the School Support Staff with state testing accommodations, auditing, and accuracy
- IEP Meeting Schedules
- Coordinate and schedule IEP meetings for students with disabilities, ensuring that meetings are held on time according to regulations.
- Work with teachers, service providers, and parents to set meeting dates accommodating all necessary participants.
- Maintain a system for tracking upcoming IEP meetings to ensure that deadlines are met.
- IEP Invites
- Send out invitations for IEP meetings to all required participants, including parents, teachers, service providers, and other team members.
- Ensure that invitations are sent in a timely manner and include all necessary documentation for participants to review prior to the meeting.
- Follow up with invitees to confirm attendance and address any scheduling conflicts.
- SPED Sectioning
- Oversee sectioning students into appropriate special education classes and services based on their IEPs and individual needs.
- Work with special education teachers, administrators, and other staff to ensure students are placed in the correct sections for their instructional and service needs.
- Monitor the sectioning process to ensure that all students are appropriately grouped and that class sizes are manageable.
- EDPlan Support
- Oversee the use and management of EDPlan, a software system for managing special education documentation and IEPs.
- Ensure that IEPs and other special education documents are maintained correctly in the EDPlan system.
- Support staff on EDPlan usage and troubleshoot any issues related to the system.
- Bachelor's degree in Special Education, Education Administration, or a related field.
- Valid Special Education certification.
- Minimum of 3-5 years of experience in virtual special education. Strong knowledge of IEP processes, special education laws (IDEA, FAPE, Section 504), and best practices.
- Familiarity with EDPlan or similar special education management software.
- Excellent organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
- Strong communication skills, with the ability to work effectively with students, parents, staff, and external agencies.
- Attention to detail and accuracy in managing sensitive student information.
- Must be able to use a personal electronic device and an email address for two-step authentication
- Full-time, 10-month position.
- Summer work is required.
