Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team.
Key Responsibilities:
- Administrative Support:
- Manage the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Prepare and organize meeting agendas, minutes, and follow-up actions.
- Handle incoming correspondence, including emails and phone calls, and respond or redirect as appropriate.
- Maintain organized filing systems for documents and records.
Operational Support:
- Coordinate and manage special projects as assigned by the executive team
- Assist in the preparation and distribution of reports, presentations, and other documents.
- Oversee office operations to ensure a smooth and efficient workflow.
- Support the development and implementation of office policies and procedures.
Communication:
- Serve as a liaison between the executive team and internal/external stakeholders.
- Draft, proofread, and edit emails, memos, and other communications.
- Ensure timely and accurate dissemination of information.
Financial Administration:
- Assist with budget tracking and expense management.
- Process invoices, reimbursements, and other financial documents as needed.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 1-2 years of experience as an Executive Assistant or in a similar role, preferably in a healthcare setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and exercise discretion.
- High level of professionalism and attention to detail.
- Problem-solving skills and the ability to work independently.
