Job Overview

We are pleased to announce an opening for a Part-Time Administrative Assistant! We seek a meticulous and well-organized individual to join our dynamic team. The successful candidate will possess experience with QuickBooks invoicing and a solid foundation in administrative functions, including overseeing School Bus Transportation Contracts and agreements for out-of-district student transportation. This position offers the flexibility to work remotely, either partially or fully, while collaborating closely with our team to facilitate seamless operations and proficient financial management.

Key Responsibilities

  • Utilize QuickBooks to create and distribute invoices to clients on a monthly basis or as needed.
  • Monitor payment statuses and follow up on overdue invoices.
  • Maintain precise records of all invoicing and payments.
  • Engage with school districts regarding prospective contracts and bids.
  • Oversee student and driver schedules to ensure adequate shift coverage.
  • Efficiently manage and respond to emails and phone calls.
  • Coordinate meetings and appointments effectively.
  • Prepare and update spreadsheets, reports, and other essential documentation.
  • Assist in the organization and management of company files and records.
  • Provide general support to team members as required.

Required Skills

  • Proficiency in QuickBooks and invoicing procedures.
  • Excellent verbal and written communication skills.
  • Strong organizational capabilities and attention to detail.
  • Ability to prioritize tasks efficiently.
  • Proficiency in Microsoft Word, Outlook, and PowerPoint.
  • Familiarity with standard office equipment, including printers and fax machines.

Qualifications

  • High school diploma or GED required; an associate degree or administrative training is preferred.
  • Prior experience as an Administrative Assistant or in a related role.
  • Familiarity with office equipment such as printers and fax machines.
  • Strong computer skills and proficiency in Microsoft Office Suite.
  • Exceptional organizational abilities with effective time management skills.
