Position Summary:
CCM is seeking a detail-oriented and professional Administrative Assistant to serve as the first point of contact for clients, visitors, and employees. This role combines front-desk responsibilities with administrative support to ensure smooth day-to-day operations. The ideal candidate will handle tasks such as greeting guests, managing incoming calls, scheduling appointments, and assisting with various administrative duties, including document preparation, data entry, and office organization. Strong communication skills, multitasking ability, and a welcoming demeanor are essential for success in this role.
Responsibilities:
- Manage the company's reception area, assist visitors, screens incoming calls and correspondence and route incoming phone calls professionally
- Schedule and coordinate meetings, appointments, and conference calls
- Prepare documents such as memos, reports, and presentations
- Maintain and update company files, records, and contact lists
- Order and manage office supplies to ensure the workspace is well-stocked
- Oversee mail distribution, including sorting and sending outgoing mail or packages
- Keep the reception area and other shared spaces clean and organized
- Office contact for onsite facilities including, requests, conference room reservations, and issues
- Responsible for office support services, including purchasing and inventory control of office supplies, lunchroom supplies and furniture. Coordinates working lunches, staff parties, etc.
- Assist in planning and organizing company events and activities
- Act as a point of contact for general office-related issues or inquiries
- Perform data entry and manage spreadsheets or databases
Requirements:
- Associate’s Degree required, Bachelor’s Degree preferred
- A minimum of five (5) years’ experience
- Highly Proficient in Microsoft Outlook, Word, PowerPoint and Excel
- Prior experience and proficiency working with office equipment, including Zoom, voice mail systems and, multi-line telephone
- Ability to work with multiple vendors i.e.: Staples, FedEx, UPS, Food Suppliers, etc.
- Ability to act with discretion, utilize good judgment and maintain strict confidentiality
- Possesses a strong work ethic, and is comfortable working with all levels of management
- Must possess strong administrative and organizational skills with the ability to take initiative, prioritize, complete assignments, and update management on progress
- Must have strong verbal and written communication skills
- Ability to work independently with minimal supervision
