Responsibilities
Core Responsibilities
- The selected candidate must have strong verbal and written communication skills, be able to communicate clearly over the telephone, and possess basic mathematical skills.
- Duties include general clerical duties, including creating and tracking reports as needed, reviewing and filing documents, as well as notifying customers of main service outages, and handling various customer inquiries.
- Additionally, the selected candidate may be responsible for monitoring term orders to ensure purchase order dates remain valid and funds do not expire.
- Follow-up with vendors to identify and resolve shipping discrepancies, including shortages and overages.
- Manage the receipt, investigation, and resolution of action line complaints regarding defective or non-compliant stock materials.
- Maintain files to ensure an accurate audit trail for assigned items.
- Review and resolve invoicing issues related to stock materials, and perform other related tasks as assigned by departmental management.
- The individual will be receiving training to perform administrative duties as needed.
- The candidate must become familiar with Maximo or other work and asset management systems.
- The selected candidate will assist in preparing and submitting New York City Department of Transportation (NYCDOT) highway permit applications and track their receipt and approval to ensure proper permits are obtained for contractor fieldwork.
- The candidate must be willing to work when needed from the contractor's yard, 16th Street service center or the Learning Center (TLC).
- The candidate must be able to work outside of the normal shift for mandatory system emergencies.
