Job Title: Accounting Administrative Assistant
Wage Range: Hourly
Department: Administrative
Reports to: Operation Manager
Job Summary:
The Accounting Administrative Assistant performs a variety of clerical, record keeping, and customer service tasks to assist with the smooth operation of the organization.
Essential Duties and Responsibilities include the following. (Other duties may be assigned):
- Answers and transfers phone calls to all departments.
- Screening in bound calls for new customers and distributing according to company practice and inputting into CRM database.
- Welcomes and directs visitors and clients.
- Provides customer service for onsite product pick up.
- Copies, files, retrieves materials and maintains filing systems as assigned.
- Input high volume of new sales orders for the company.
- Creates invoices according to company practices; submits invoices to customers.
- Identifies delinquent accounts by reviewing files and escalate to accounts receivable.

Education and/or Experience:
- Proficient in Microsoft Office Suite or similar software.
- Basic understanding of office equipment.
- Basic understanding of clerical procedures and systems such as record keeping and filing.
- Ability to work independently and identify and solve problems.
- Ability to organize and prioritize work.
- Ability to greet visitors, clients, and colleagues in a friendly and courteous manner.
- Associates degree in accounting or related experience
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
