Job Title: Sales Coordinator
Location: Carlstadt, NJ
Reports to: Director of Sales Operations
Collaborates with: Sales Associates, Estimators, Project Managers, Vendors, Clients
Job Summary:
The Sales Coordinator is a proactive and detail-oriented professional who supports the sales team in preparing accurate proposals, managing project documentation, and ensuring smooth coordination between clients, vendors, and internal teams. The ideal candidate is a motivated self-starter with strong organizational skills, capable of managing multiple projects, meeting deadlines, and improving processes.
Key Responsibilities:
Proposal & Bidding Support:
• Track and monitor upcoming projects, ensuring all bid opportunities are logged and updated.
• Prepare accurate and detailed quotes using Quote Manager (Filemaker), ensuring proper pricing, quantities, and exclusions.
• Request and confirm pricing from manufacturers and vendors.
• Submit bids and proposals through job management platforms such as BuildingConnected, ProCore, and other industry-related software.
Project Coordination & Documentation:
• Order and track samples from manufacturers, maintaining organized submittal logs.
• Work closely with estimators to develop seaming diagrams and ensure project specifications are met.
• Prepare and manage all necessary documentation, including transmittals, submittals, and purchase orders.
• Verify material availability and place orders upon project approval.
Active Job Support:
• Maintain and update change order logs, ensuring all modifications are documented and processed promptly.
• Coordinate with project managers to ensure installation teams have all required documentation and materials.
• Assist in resolving any sales-related issues or project discrepancies by collaborating with internal departments and external partners.
Skills & Qualifications:
• Highly proactive and motivated with the ability to take initiative and work independently an in a group setting.
• Strong attention to detail and organizational skills to manage multiple projects simultaneously.
• Effective communicator with excellent written and verbal skills to interact with clients, vendors, and internal teams.
• Ability to prioritize and meet tight deadlines in a fast-paced environment.
• Proficiency in Microsoft Office Suite.
• Experience in the flooring or construction industry and/or an industry-related CRM and quoting software is preferred but not required.
