Position Description: Under the direction and supervision of the Office Manager, performs a wide range of administrative and office support activities for the firm and/or office manager and attorneys to facilitate the efficient operation of the organization.
Main Job Tasks and Responsibilities:
· Answer, screen, and transfer inbound phone calls
· Receive and direct visitors and clients
· General clerical duties including photocopying, fax, and mailing
· Maintain electronic and hard copy filing system
· Retrieve documents from filing system
· Handle requests for information and data
· Resolve administrative problems and inquiries
· Prepare written responses to routine inquiries
· Prepare and modify documents including correspondence, reports, drafts, memos, and emails
· Schedule and coordinate meetings, and appointments
· Open, sort, and distribute incoming correspondence
· Assist in maintaining office supply inventories
· Support legal staff with clerical tasks such as copying and paginating
· Take client payments and document
· Assist in preparation of meetings for staff and individual teams
· Organize and maintain the copy area and the front waiting room
Education and Experience:
· Computer skills and knowledge of relevant software
· Knowledge of the operation of standard office equipment
· Knowledge of clerical, and administrative procedures, and systems such as filing, and record-keeping
· Knowledge of principles and practices of basic office management

Work Environment: This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands: Position involves sitting for extended periods of time at the employee’s workstation and during meetings. Employees need to be able to lift up to 20 pounds as frequently as needed to move objects; dexterity to write and manipulate computer keyboard and mouse; ability to hear and speak clearly; and ability to distinguish between colors on graphs and charts.
Position Type and Expected Hours of Work: This is a full-time position. The office is open from 8:30 a.m. to 5:30 p.m. However, as a salaried employee you have flexibility to adjust those hours to suit your work and needs. Evening and weekend work may be required as your schedule, and case load demands.
Travel: Travel is a requirement of the job. The Managing Attorney must be able to drive and have an available personal automobile, and be able to drive to courts, jail, and any other location as necessary.
