In this role, you will support the successful execution of projects by coordinating schedules, managing submittals, and ensuring timely communication between internal departments, contractors, and customers. We are looking for a proactive and detail-driven Project Coordinator to join our Automation team. In this role, you will support the successful execution of projects by coordinating schedules, managing submittals, and ensuring timely communication between internal departments, contractors, and customers. Your contributions will directly impact the efficiency and success of control system projects.
Key Responsibilities
- Continuously work with PM to update Milestone Job Sheet with accurate HRS | % Complete | Key Dates to maintain visibility across project stages.
- Request Project Platform Access for internal staff and subcontractors to ensure timely onboarding and collaboration.
- Continuously work with PM to ensure project schedules are updated, keeping all stakeholders aligned and informed.
- Submit and track Equipment Submittal Requests, including Mechanical Contractor Provided, Electrical Contractor Provided, and any other pertaining contractor providing equipment interfaced with control system.
- Assist with RFI (Request for Information) generation to resolve design discrepancies and field questions.
- Coordinate security/access to buildings for CSC personnel and CSC subcontractors.
- Send controls submittals to customers and contractors for review and approval.
- Create / Submit VAV control order forms.
- Communicate with the Parts Department to track order statuses and expedite delivery of HVAC components as necessary.
- Coordinate Mechanical Equipment Startup dates with the Mechanical Contractor (MC) to ensure systems are ready for controls startup/checkout.
- Organize and schedule customer training sessions to review system functionality and control interfaces.
- Deliver final CSC O&M (Operations & Maintenance) manuals to customers and contractors.
- Provide warranty letters to customers when applicable, outlining coverage and contact details.
- Other duties as needed.
- 2 years of experience in a project coordination or administrative role, preferably in HVAC, construction, or building automation.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Familiarity with HVAC systems, mechanical equipment, and controls is highly preferred.
- Proficiency in Microsoft Office (Excel, Outlook, Word); experience with project management software is a plus.
- Excellent written and verbal communication skills.
- Ability to collaborate with cross-functional teams including engineering, field technicians, sales, and vendors.
