What are the responsibilities and job description for the Project Manager position at Convoy of Hope?
Ministry Function:
The Project Manager will work closely with the Sr Director of Special Projects and other Project Managers to ensure adequate project management for the Marketing & Communications Division. The Project Manager will handle project management and client relations for a set of internal clients. This person will also serve as an advocate for internal clients, the Marketing & Communications division, and the organization.
Essential Duties and Responsibilities:
- Meet regularly with a set of other teams at the organization (“clients”) to discuss current and future projects, and how the Marketing & Communications division can serve them effectively.
- Balance and strive to serve the best interests of other teams, the Marketing & Communications division, and the organization throughout the process of project management and asset creation.
- The Project Manager will work with his/her supervisor to determine how best to coordinate project management between his/her position and the Supervisor. The Project Manager is responsible for all the following:
- Monitor all project activity in Monday.com, by email, and on any other platforms that may come into use in the future.
- Process incoming tickets by tasking out all team assignments, carrying over project details accordingly to the project management system, assigning due dates, indicating the requester, and uploading supplemental documentation.
- Monitor progress on all assignments, ensuring preliminary and final deadlines are met.
- Client correspondence:
- Send initial emails with clients, making phone calls and having meetings as needed.
- Help clients understand questions and their own needs.
- Send clients status updates and the initial proofs of the assets.
- Manage the revision process as clients send back proofs and revisions are made.
- Send additional proofs (often facilitate several rounds of back and forth with client(s) and designer).
- Support the Project Management team by taking on additional project management and production management tasks as assigned. These may include, but are not limited to:
- Obtain quote approvals from clients and record in project management system.
- Place orders with vendors.
- Draft and submit purchase orders.
- Document orders in project management system.
- Confirm order submission and ETA to client.
- Follow up on any issues or problems that arise with client orders. This could mean ordering replacement materials or locating assets that are missing or were not delivered, for example.
- Collaborate with the Senior Director of Special Projects and other Project Managers to develop and implement internal customer service standards. Evaluate the customer service provided by Marketing & Communications by, among other things, surveying Convoy of Hope team members.
- All other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Bachelor’s degree preferred, High School Diploma or equivalent required.
- Experience with administrative work, project organization and project management, as well as customer service required.
- Excellent communication skills, both verbal and in writing.
- Ability to use a PC and software programs, including, but not limited to Gmail, Word, Excel and PowerPoint.
- Familiarity with online project management platforms such as Monday.com.
- Strong organizational skills for managing many projects of different types at one time.
- Must be highly detail-oriented with the ability to follow through without direct supervision.
- Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization's religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
Supervisory Responsibilities: None at this time.
