Ministry Function
The Administrative Coordinator supports the ministry of Convoy of Hope by providing administrative coordination to all aspects of the Regional Distribution Center (RDC) East.
Essential Duties & Responsibilities
- Fulfills administrative duties, including but not limited to being the main point of contact for inbound/outbound shipments; greeting and assisting donors, staff, and volunteers; and providing instruction on dock assignments.
- Supports the RDC East by answering phones, preparing correspondence, scheduling meetings, and other tasks.
- Sorts and responds to all assigned inquiries via web referral, mail, and phone.
- Assists with projects and facilitates working group activities in the RDC East.
- Collaborates with other Convoy of Hope team members to plan and host RDC East activities and volunteer opportunities as directed.
- Maintains proper recordkeeping and file management, including Bill of Lading, Department of Transportation, and other required documentation.
- Assists RDC East Director and team as needed.
- Fulfills all other duties as assigned.
Required Knowledge, Skills & Abilities
- A high school diploma or equivalent is required.
- One or more years of relevant work experience is required.
- Possesses ability to use Mac and PC equipment and software, including Microsoft Outlook, Word, PowerPoint, and Excel and Google Workspace.
- Demonstrates ability to manage confidential information in a professional manner.
- Displays strong organizational skills, communication skills, and attention to detail. Must be able to multitask and manage deadlines.
- Exhibits independence, resourcefulness, flexibility with shifting priorities, and an eagerness to learn.
- Demonstrates optimism, flexibility, and dedication in a fast-paced office environmen
- Attends and actively participates in Convoy of Hope At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization’s religious purposes for which it exists, and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
