Ministry Function
The Transportation Safety/Compliance Manager supports the ministry of Convoy of Hope by ensuring Convoy of Hope’s Transportation Department is in full compliance with Department of Transportation (DOT) regulations and Convoy policies. This position supports Convoy programs, including outreach, disaster response, and rural and children’s feeding initiatives.
Essential Duties & Responsibilities
- Ensures Convoy of Hope transportation compliance with state and federal DOT regulations according to Federal Motor Carrier Safety Administration (FMCSA) standards, assisting a third party. This includes International Fuel Tax Agreement (IFTA) management.
- Creates and maintains all CDL qualification files and alcohol files, ensuring completeness and accuracy and working in conjunction with a third-party provider keeping all drivers updated. Monitors qualification and proactively works with all volunteer drivers to ensure continued compliance as the Convoy point of contact with drivers, working directly and managing third-party compliance service (FMSCA, DOT).
- Reviews CDL Operator records of duty status, ensuring accuracy. Audits driver Elogs, making notations when needed on manager’s dashboard.
- Collaborates with Human Resources department to ensure execution of FMCSA/DOT controlled substance and alcohol testing program.
- Responds to and manages all vehicle crash events. Facilitates crash investigation and event management, ensuring state/federal compliance and thorough data collection after any crash.
- Oversees all vehicle compliance, including state/federal licensing of all Convoy vehicles with schedules and needs.
- Maintains responsibility for fleet maintenance and recordkeeping.
- Develops and maintains good relationships with truck maintenance vendors.
- Performs transportation regulatory compliance self-audits on a routine basis.
- Oversees roadside inspection process reports, maintaining roadside inspection documentation.
- Oversees ongoing DOT driver safety training, ensuring continued education for every active CDL driver (working in conjunction with third party), including ride-alongs.
- Maintains new volunteer driver training program and testing.
- Participates in safety/driver meetings, presenting material as it relates to current trends and objectives.
- Ensures all Convoy of Hope transportation policies and federal/state regulations are followed. Provides coaching, feedback, and correction when needed.
- Assists Transportation Department with the development of additional transportation policies and procedures. Makes recommendations for policy creation and improvements.
- Assist the Transportation Department with daily operations as needed and with special projects.
- Assists with new volunteer driver recruitment.
- Assists Transportation Department with Convoy driver/load planning as needed.
- Fulfills all other duties as assigned.
Required Knowledge, Skills & Abilities
- A bachelor’s degree or equivalent experience is preferred. A high school diploma or equivalent is required.
- Two or more years of relevant experience is required.
- Demonstrates excellent interpersonal skills as well as verbal and written communication skills for communicating both internally and externally.
- Exhibits strong organizational skills for managing details pertaining to each vehicle in the fleet.
- Possesses or can obtain a Commercial Driver’s License (Class A) and any endorsements that may be needed to conduct business (e.g., airbrakes, hazmat, doubles, etc.).
- Possesses proven solution-based track record and efficiency control management.
- Attends and actively participates in Convoy of Hope At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.

Supervisory Responsibilities
This position directly engages and adds volunteer drivers, and is partially responsible for hiring and evaluating volunteer drivers.
