Job Summary: Our growing plastic surgery med spa practice is seeking an organized, meticulous scheduler to join our team. Our med spa staff sees up to 50 patients per day on average and we are hoping to hire a candidate that can coordinate staff and patient schedules. The ideal candidate has superb communication and multitasking skills, a positive attitude, and a strong work ethic. There are opportunities for full or part-time employment.
Responsibilities and Duties:
- Coordinate med spa scheduling of patients including consultations, lasers, injectable appointments, facials and follow-up visits, manage skin care staff schedules appropriately including rearranging schedules as needed, filling cancellations and inputting time off.
- Greet patients as soon as they arrive at your desk and walk through the check-out process
- Answer phone calls and book appointments for skin care and clinical teams
- Triage phone calls to appropriate person when necessary
- Work in emergency appointments and resolve scheduling conflicts
- Communicate with physician assistants, nurses, aestheticians, laser technicians, surgeons and other health care professionals regarding patients and schedules
- Remind patients of upcoming appointments
- Collect patient payments, co-pays, deductibles, prepayments, coinsurances as necessary
- Enter daily billing information at end of each patient’s appointment and present them a receipt upon request
- Create packages and quotes for services
- On a weekly basis make certain all encounters are entered for skin care patients
- Cross train in front office positions and be willing to fill in or assist with work if needed
- Create and manage digital patient charts
- Maintain clean and professional appearance of work space
- Maintain professional attire
- Run monthly inventory reconciliation
- Manage inventory
- Generate and discuss financial quotes for services with patients
- Educate patients and ensure they are prepared for their appointments
- Communicate with patients via HIPAA secure texting, e-mail and phone in professional manner
- Ensure schedules stay full by filling cancellations using waiting list, calling patients with unapplied credits and packages to schedule appointments
Qualifications and skills:
- Associate’s degree preferred, but high school diploma with some college or equivalent experience accepted
- 2 years’ experience as scheduler or administrative assistant
- Experience in inventory management
- Knowledge of spreadsheets and word processing documents
- Typing speed at least 70 WPM
- Experience with Nextech or willingness to learn
- Positive attitude and strong work ethic
- Exceptional communication and organizational skills
- Basic knowledge of medical terminology desired
Job Type: Part-time
Pay: $17.50 - $19.50 per hour
