Job Summary :
We are seeking a friendly, organized, and customer-focused Dental Front Desk Assistant to join our team. The ideal candidate will have excellent communication skills, a strong attention to detail, and a passion for delivering top-tier patient care. As a key member of our front office team, you will be the first point of contact for patients and will play an important role in ensuring a smooth and welcoming experience from check-in to check-out.
Key Responsibilities :
Patient Interaction :
Greet patients warmly upon arrival and check them in for their appointments.
Answer phone calls, schedule appointments, and manage patient inquiries.
Confirm upcoming appointments and follow-up on missed or rescheduled appointments.
Provide patients with necessary forms, information, and instructions before procedures.
Administrative Tasks :
Verify patient insurance information and update patient records in the system.
Handle patient billing and payment processing, including co-pays and insurance claims.
Maintain a clean, organized front desk area.
Assist with filing, faxing, and scanning documents as needed.
Appointment Scheduling & Coordination :
Efficiently schedule, confirm, and reschedule patient appointments.
Coordinate with dental professionals to ensure appointments are appropriately spaced and managed.
Send appointment reminders via phone, email, or text.
Insurance & Billing :
Help patients understand insurance coverage, co-pays, and out-of-pocket costs.
Verify insurance eligibility and benefits before patient appointments.
Assist with insurance claims submission and follow-up on any outstanding claims or payment issues.
Record Keeping & Compliance :
Ensure all patient information is entered accurately into the practice management system.
Maintain patient confidentiality according to HIPAA regulations.
Assist with compliance procedures and audits as required.
General Office Support :
Assist the office manager or dental team with general office duties as needed.
Assist in preparing treatment rooms and ensuring patient comfort.
Handle correspondence and communication with patients, insurance companies, and vendors.
Qualifications :
High school diploma or equivalent (Associate’s degree or related certifications preferred).
Previous experience in a dental office or medical office is a plus.
Knowledge of dental terminology and insurance processes is preferred.
Strong organizational skills and the ability to multitask in a fast-paced environment.
Excellent verbal and written communication skills.
Proficiency with office software (Microsoft Office, dental software experience is a plus).
Ability to maintain a professional and positive attitude in all situations.
