Job Overview We’re looking for a highly organized, detail-oriented assistant to support the growth of our real estate business. Key Responsibilities
Personal Management
- Prioritize tasks and assist with scheduling
- Track and manage business transactions
- Assist with office management and errands
- Handle calls and follow-up emails
Client & Transaction Management
- Shadow client interactions (showings, listings, closings, etc.)
- Manage listing and showing schedules
- Coordinate closing processes and ensure all paperwork is in order
- Maintain client files and documentation
- Assist with lead generation and scheduling appointments
Administrative Support
- Prepare listing, pre-listing, buyer consultation, and showing packages
- Pull leads from expired listings
- Organize and maintain CRM system
- Ensure daily tasks are prioritized and completed
Qualifications
- Highly organized with exceptional attention to detail
- Strong communication skills (verbal and written) with buyers, sellers, agents, and contractors
- Ability to multitask and manage time efficiently
- Basic computer proficiency (eXp, GHL/ CRM experience, ChatGPT, Notion preferred)
- Knowledge of social media is a plus
- Experience with administrative tasks, accounting, and marketing is preferred

Specific Tasks & Responsibilities
Personal Assistant / Transaction Coordinator
- Organize inbox and folders (Deals, Taxes, Personal, Urgent, etc.)
- Draft contracts and addendums, ensuring compliance
- Act as liaison between lender, attorney, and other parties involved
- Schedule and confirm inspections, contractors, and repairs
- Provide updates on transaction progress
- Manage closing details (utility transfers, walkthroughs, etc.)
- Follow up with clients post-closing
Listings & Front-End Support
- Prepare properties for sale, including installing For Sale signs, lockboxes, and ensuring properties are show-ready (flowers, candles, etc.)
- Meet with vendors (tradesmen, stagers, cleaners) as needed
- Coordinate open house supplies (balloons, coffee, local bites) and assist with hosting if licensed
- Assist with listing preparation (comps, photography, staging)
- Upload listing details to MLS and eXp Luxury website
- Handle lead follow-up for open house attendees and buyer's agents
Work Environment
- Fast-paced and high-energy with a focus on luxury real estate
- Time will be spent on the phone, with clients, and attending networking and educational events
