What are the responsibilities and job description for the Spa Coordinator position at CordeValle?
OVERVIEW/BASIC FUNCTION:
Able to provide CordeValle members and guests a unique and outstanding spa experience. Provide effective and efficient guest service in the scheduling area of the spa. Provide members & guests with extensive knowledge of the club and spa, in order to enhance their visit and promote The SPA at CordeValle. Provide members & guests with the highest level of service to increase sales and demand repeat business. Communicate calmly and clearly with members, guests and technicians in order to ensure a seamless experience for our guests and each other.
RESPONSIBILITIES:
- Maintain complete knowledge of and comply with all departmental policies, service procedures and standards.
- Ensure that standards are maintained at a superior level on a daily basis.
- Report to work in appropriate uniform, on time, and well groomed according to CordeValle guidelines.
- Attend all scheduled staff meetings and trainings.
- Use telephone procedures as dictated by the spa and CordeValle.
- Schedule spa services using computer booking system.
- Reconcile treatment discrepancies that occur during your shift.
- Reconcile all billing discrepancies.
- Follow-up to spa director on all comments, concerns and suggestions made by staff, and CordeValle members and guests.
- Explain and promote all spa facilities, services and activities.
- Detect and prevent any problems with spa scheduling
- Maintain upkeep of pool
- Maintain and upkeep fitness room
- Available to work weekends and holidays.
- Greet all guests upon arrival.
- Provide friendly assistance to all guests either by telephone, email and in-person.
- Create and maintain retail displays, replenishing, cleaning and rearranging stock as necessary. Cultivate and maintain knowledge of features and benefits of inventory.
- Inventory accounting and maintenance.
- Promote positive relations with guests and co-workers.
- Attend all spas’ training sessions on a consistent and regular basis.
- Responsible for maintaining helpful, cooperative relations with co-workers.
- Responsible for adhering to CordeValle employee handbook guidelines.
- Responsible for adhering to CordeValle’s core values and the CordeValle Responsibilities.
- Contribute to the “greening and sustainability” of the spa
- All other duties as required.
QUALIFICATIONS:
- Experience: Previous customer service training, previous experience in the hospitality industry; preferably a 4-5 star property, knowledge of spa treatments and products, previous experience scheduling appointments.
- Education: High School and some College preferred
- General Skills: Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a guest’s service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data. Well organized and able to maintain effective and productive work with continual interruptions.
- Technical Skills: Computer literate including the use of POS systems, Microsoft Office Suite and email.
- Language: Required to speak, read and write English, with fluency in other languages preferred.
- Physical Requirements: Must be able to exert physical effort in transporting 40 pounds, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding. Able to remain standing for extended periods of time (up to eight hours).
- Licenses & Certifications: None required. CPR & First Aid preferred.
