Position Overview:
We are seeking a highly organized and enthusiastic Assistant Event Coordinator to support the planning and execution of events. The ideal candidate will work closely with the Event Coordinator and other team members to ensure events run smoothly and successfully. This role involves administrative duties, vendor coordination, and on-site event support.
Key Responsibilities
- Assist in planning and coordinating events, including conferences, weddings, corporate gatherings, and social events.
- Communicate with vendors, venues, and suppliers to confirm logistics and negotiate contracts.
- Handle event-related inquiries, manage RSVPs, and maintain guest lists.
- Prepare and organize event materials, including signage, promotional items, and seating charts.
- Oversee set-up, tear-down, and event operations on the day of the event.
- Ensure events comply with health, safety, and legal regulations.
- Provide administrative support, including scheduling meetings, preparing reports, and managing event calendars.
- Collect and analyze feedback from clients and attendees to improve future events.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and event management software (e.g., Eventbrite, Cvent) is a plus.
