JOB SUMMARY:
The Program Assistant maintains all administrative and office operation functions for the Orange County Locations. In addition, the Program Assistant provides programmatic support for the offices and Community Programs department.
Description of Duties:
- Answer the telephone promptly using the standard greeting; accurately answer and refer callers/visitors to staff members in a timely manner.
- Offer general support of our phone system to staff within the offices.
- Welcome all staff and visitors promptly, with professional and attentive demeanor in order to maintain a friendly and professional front desk environment.
- Coordinate with and report to their designated supervisors for tasks/projects.
- Keep the reception area neat, organized and supplied with agency informational material in order to promote professional appearance and front desk efficiency.
- Perform high-level administrative tasks that may be confidential in nature, including, but not limited to reports, data entry, and professional correspondence.
- Maintain, monitor, and order supplies, water, and keys for Orange County to maintain office efficiency.
- Assist with accurate and timely program data entry and filing as required by their designated supervisor and grant funded program requirements.
- Notify and coordinate with their designated supervisor regarding all operations issues or problems in the offices.
- Notify and coordinate with the Director of Facilities regarding all facilities issues or problems in the offices.
- Process all outgoing mail; distribute all incoming mail and other deliveries to the appropriate staff.
- Open and close the offices as needed.
- Perform general administrative tasks, including enforcing cleanliness in the offices and keeping all shared spaces tidy.
- Participate in departmental meetings; sit in on the quarterly Safety Committee meetings and complete weekly safety checklists and quarterly fire drills; schedule and facilitate quarterly office meetings.
- Manage the food pantries in Orange County by placing and organizing monthly orders, monitoring the monthly distribution logs, packing pre-made bags, and routinely checking expiration dates.
- Collect all forms and perform data entry for the CSP Food Pantry with AIRS.
- Perform data entry tasks at KFP location one day per week.
- Perform all duties with a strong customer service focus.
- Attend and participate in monthly All Staff meetings and other required meetings.
- Be familiar with Cornerstone policies and procedures and the Employee Handbook.
- Maintain confidentiality of all aspects of Cornerstone including, but not limited to, patient confidentiality, financials, and employee relations.
- Perform other related duties as assigned.
Requirements
- High school diploma with 1 year of college; or a High School diploma with two years of the experience
- Must be well-organized; outstanding oral and written communication skills; ability to manage time and multiple tasks efficiently; familiarity with non-profit and/or human service agency operation, sensitivity to HIV/AIDS issues and ability to work independently.
- Must be computer-literate and have an understanding of Microsoft Word and Excel. Experience with electronic data entry is a plus.
- Bilingual (English/Spanish) is a plus
