POSITION SUMMARY:

Job Description

Job Title: Front Desk Receptionist/Scheduler/Administrative Assistant

Department: Cornerstone Health Counseling Center (CHCC)/DBA of Christian Health Associates (CHA)

Reports To: Practice Manager

Salary/Wage: $18 - $21 per hour

POSITION SUMMARY:

Performs check-in, check-out/cashier, appointment scheduling and counseling records functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following but are not limited to:

· Greets clients and completes check-in process

· Answers clients’ general questions

· Answers telephone calls

· Schedules client appointments

· Obtains & processes referrals

· Responsible for initial client paperwork processing

· Build files for new clients in Electronic Health Record

· Ensures that proper client forms are complete, current and entered into the computer

· Runs charge tickets

· Initiate records requests

· Processes first step of medical record requests

· Tracks and documents “no-show” clients

· Monitors client waiting area and straightens up area if needed

· Collect co-pays/POA, etc.

· Balances cash daily

· Schedules follow-up appointments

· Provides back-up coverage and assists in daily office routine when needed in other areas

· Monitors and maintains front office equipment/orders office supplies

· Works well with clients, counselor(s) and other CHCC/CHA employees

· Successfully meets Unit Specific Skill Sets

· Complies with all Standards of Behavior set forth by CHCC/CHA

· Adheres to policies and procedures set forth in CHCC/CHA Employee Manual

· Adheres to the CHCC/CHA attendance policy

· Schedules Conference Room use

· Coordinates schedule for Play Therapy Room use with counselors

· Office supplies oversight

· Notify maintenance & IT of CHCC needs and repairs (security, phones, computer issues)

· Maintains bookstore inventory and reports needs to ordering personnel

· Processes payments for book sales

· Field insurance questions

· Address, triage, and report (as needed) counselor and client complaints

· Refer personnel matters to appropriate leadership (FDOM, Counseling Operations Supervisor, HR or Assoc. Dir)

· Follows HIPAA, OSHA, and Compliance Plan Regulations

· Other duties as assigned

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High School diploma or equivalent

Prior front desk experience in a professional office preferred

COMMUNICATION SKILLS

Must be able to effectively communicate with counselors, insurance companies and other CHCC/CHA employees with a professional demeanor. Always demonstrate a positive attitude.

SKILLS

Incumbent must possess excellent computer skills and knowledge of office equipment. It is necessary to be a good problem solver and be detail oriented.

PHYSICAL REQUIREMENTS

Must be able to sit and/or stand for prolonged periods. Must have the dexterity to operate a computer keyboard and basic office equipment.

Job Type: Full-time

Pay: $18.00 - $21.00 per hour
