Overview:
Cornerstone of Hope, Ohio’s leading provider of bereavement services, is seeking a warm and welcoming Office Coordinator to join our compassionate team. Their key role is establishing a positive, first impression of Cornerstone of Hope with potential clients and communities served by the organization. This position manages the communication process that introduces individuals to the services provided, addresses their expectations about service availability and types of support/counseling available, and provides information on financial eligibility, scheduling, confidentiality, and documentation.
This Office Coordinator position has the primary responsibility of managing the day-to-day office functions and is the first point of contact for clients and visitors. The ideal Office Coordinator candidate is highly organized and capable of handling multiple projects with varying levels of confidentiality and urgency.
Job Responsibilities:
Office Coordination - 50%
- Coordinate and schedule daily operations, including meeting organization and office management,
- Welcome clients and visitors with warmth and hospitality,
- Maintain office cleanliness,
- Handle supply orders,
- Perform light accounting and bookkeeping tasks,
- Complete data entry,
- Assist with company errands, when necessary,
- Foster professional relationships with colleagues, clients, visitors, vendors, and donors,
- Assist in executing programs, events, fundraising efforts, and services related to the organization's mission and goals,
- Serve as a liaison with our human resources, marketing, events, and client service teams in Cleveland,
- Facilitate regular meetings, video conferences, and updates to keep teams aligned,
- Ensure consistent implementation of organizational policies and procedures across locations,
- Organize and promote employee engagement activities that foster a sense of unity and collaboration; and
- Act as the Board Communication Liaison
Client Services/Intake Coordination - 40%
- Answer all phone calls/inquiries for services,
- Maintain/organize all intake functions, including managing waitlists, collecting client information in EHR database, following up with clients, and scheduling new clients working in conjunction with Cleveland Intake Team,
- Collect required client billing information, confirm insurance eligibility, and secure reimbursement verification,
- Provide education regarding services available to address the client’s specific needs,
- Schedule clients for the appropriate type of service,
- Send email appointment confirmation letters to new clients,
- Review referral interest forms to assess the needs of external referrals,
- Maintain an inventory of support materials, brochures, and resources for clients; and
- Offer empathetic and compassionate support to families seeking assistance, directing them to appropriate resources and services.
Other- 10%
- Provide input to various marketing projects (Newsletter; e-News; Community Calendars)
- Provide support for fundraising events
- Participate in programs and services affiliated with Cornerstone of Hope (i.e., Remembrance Ceremonies, Guest Speakers, fundraising and community events, etc.)
- Evaluate potential areas for process improvement and assist in developing/implementing process improvements.
