Job Summary :
We are seeking a detail-oriented and highly organized Office Administrator with payroll processing experience to join our client's team. The ideal candidate is bi-lingual (English & Spanish preferred) and has prior experience in the construction industry . This role will be responsible for managing administrative duties, handling payroll, and supporting day-to-day operations to ensure smooth business functions.
Key Responsibilities :
Administrative Duties :
Assist in managing office operations, including filing, record-keeping, and correspondence.
Assist with employee onboarding, maintaining personnel records, and ensuring compliance with company policies.
Handle incoming calls, emails, and office communications professionally.
Maintain office supplies and coordinate orders as needed.
Payroll & HR Support :
Process weekly / bi-weekly payroll for employees, ensuring accuracy and compliance with labor laws.
Track and maintain employee hours, overtime, and job site attendance.
Assist in benefits administration, including workers' compensation claims and time-off tracking.
Ensure compliance with federal, state, and local payroll regulations.
Construction Industry-Specific Tasks :
Assist with certified payroll reporting and prevailing wage compliance, if applicable.
Maintain records related to job costing, invoicing, and subcontractor payments.
Support project managers and field staff with administrative tasks, such as scheduling and documentation.
Qualifications & Requirements :
2 years of administrative experience , preferably in a construction or related industry.
Experience processing payroll using software such as QuickBooks, ADP, or similar.
Bi-lingual (English & Spanish preferred) to communicate effectively with a diverse workforce.
Strong knowledge of labor laws, payroll regulations, and compliance requirements .
Proficiency in Microsoft Office (Excel, Word, Outlook) and other administrative software.
Ability to multi-task, prioritize, and work in a fast-paced environment .
Strong interpersonal and communication skills with a high level of professionalism.
