As part of our continued growth, we are hiring a Payroll Administrator who will be responsible for processing accurate and timely payroll across multiple states and ensuring compliance with labor and tax regulations. The ideal candidate is organized, dependable, and comfortable working with a fast-paced, service-based workforce.
Position Summary
The Payroll Administrator oversees the end-to-end payroll process for our contract labor workforce, ensuring that all wages, deductions, and tax filings are completed accurately and on schedule. This role is essential to maintaining employee satisfaction, legal compliance, and clean financial reporting.
Key Responsibilities
- Process weekly and bi-weekly payroll for 900 employees across multiple states using CertiPay (or equivalent system)
- Review timecards from timekeeping systems (WorkRecords, JoinedUp, etc.) and resolve discrepancies
- Allocate payroll costs by account and zone based on employee assignments
- Ensure compliance with all federal, state, and local payroll tax requirements
- Manage garnishments, deductions, PTO balances, and sick time policies
- Maintain accurate employee payroll records and handle wage verification requests
- Collaborate with Accounting and HR to ensure data consistency
- Generate payroll reports for accounting, management, and audit purposes
- Assist with ACA reporting, W-2s, 1099s, and annual filings
- Identify process improvement opportunities and contribute to payroll system upgrades
Qualifications
- 3 years of payroll experience, preferably in multi-state and high-volume environments
- Proficiency in payroll software (CertiPay, ADP, Paychex, or equivalent)
- Familiarity with hospitality or staffing industry payroll operations is a plus
- Strong understanding of wage and hour laws, tax withholdings, and ACA regulations
- Excellent Excel skills and attention to detail
- High level of discretion when handling sensitive payroll information
- Strong communication and problem-solving skills
Job Types: Full-time, Contract
Pay: $23.60 - $25.64 per hour
Expected hours: 30 – 40 per week
