What are the responsibilities and job description for the Administrative Office Coordinator position at Corporate Cleaning Group?
Corporate Cleaning Group, a growing commercial cleaning company in Kansas City Missouri, is looking for a proactive, organized and detailed oriented Administrative Coordinato to assist in the day to day operations of the business. The Administrative Coordinator must be able to work independently with minimal supervision, be able to maintain a positive working environment at all times and manage multiple projects simultaneously.
The most suitable individuals will have a naturally friendly and professional demeanor, and be team oriented. Your ability to prioritize and respond to daily requests with the proper sense of urgency will help in your team's success.
Flexible schedule, with typical hours being scheduled in the range of 8am-5pm but must have the ability to work until 7pm on Tuesdays if needed. Could develop in to more responsibility as the company grows. Duties included but not limited to:
- Being a presence in the office to accept deliveries, assist visitors, etc.; must be comfortable with being the only person in the office at most times
- Answering phones taking detailed messages, knowing how to prioritize and when to escalate immediately to leadership
- Maintain inventory of office supplies, equipment parts, cleaning supplies; including purchasing and receiving orders
- Maintain equipment ID and tracking system
- Run errands such as visiting post office, deliver supplies to locations, picking up supply/equipment orders, picking up food for meetings
- Maintaining cleanliness and organization of office (being a cleaning company, our own office is a representation of our quality)
- Preparing job cards, binders, signs, and training materials
- Reviewing time files and identifying needed corrections
- Perform recruiting activities, such as reviewing resumes, conducting phone screening, setting interview appointments, running background checks
- Processing paperwork for prospective employees during interviews and assisting with completion of new hire paperwork
- Processing payroll using Paychex Flex software.
- Copying, scanning, laminating, shredding, binding
- Must have strong verbal and written communication skills
- Must have intermediate computer/technology skills; we use both PC and MAC, MS Office Suite, Internet; Phones, Texting, Tablets
- Ability to multi-task and adhere to deadlines
- Assist leadership team and Owner with various projects and support tasks
- May be asked occassionally to clean equipment if returned in poor condition
- Communicate with Corporate Office as needed
Some of the attributes that we are looking for in an Office Administrative Assistant include:
Proactive and extremely organized
2-4 years minimum experience in an Administrative role is required
Ability to multi-task and prioritize responsibilities in a fast-paced environment
Strong attention to detail
Highly proficient in using MS Office suite including Word, Excel and the Internet to perform daily office tasks
Working knowledge of principles and practices of office
Ability to follow procedures and written and oral directives effectively
Exceptional written and oral communication
Personable and energetic, with a great phone presence
Ability to self-direct and recognize needs of the office and staff as they arise
