Education/Training: High School diploma or college degree, Secretarial or Accounting equiv. preferred. Advanced Training in Microsoft Office products a must.
Experience/Background/Knowledge: 3-5 years' general secretarial /accounting background. Background should include word processing; document control, accounting, preparation of spreadsheets, graphs and charts; presentation materials.
Skills: Microsoft Office, Word, Excel, Power Point, QuickBooks, Gmail, excellent spelling and grammar; good phone skills; organized; sets priorities; meets deadlines; able to multi-task; carefully proofs own work; type 60 – 65 words per minute.

While performing the duties of this job, the employee is regularly required to talk or hear. RESPONSIBILITIES: Provide receptionist, clerical, data entry, secretarial, accounting and administrative support as required to entire staff.
DUTIES (include but not limited to):
- Main person responsible for answering the phone system.
· Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries. Responsible for logging in all visitors to the office.
· Responsible for all investigators’ reports, letters and Memos of Observation reports.
· Daily post office duties, afternoon and evening drop
· Update client list as necessary to maintain current client information, potential clients, and inactive client status.
· Responsible for maintaining customer files and maintain billing files.
· Keep all filing for Pre-employment & Tenant Screening up to date.
· Get money orders for pre-employment screening orders.
· Adding/Updating new user information in screening software
· Ensure that all client service agreements are up to date and noted in screening software and filed with client information.
· Check new client setup processes in pre-employment software
· Responsible for, Pre-employment & Tenant Screening, entering orders, checking status, handling client calls, checking and updating client completion addresses as necessary to ensure appropriate delivery to results.
· Responsible for processing new credit client paperwork, researching information and performing onsite visits at client location to vet for credit setup.
· Entering Account Payable invoices into Accounting Software (QuickBooks)
· Responsible for deposit copies and deposit slip write-up. Give to President for review and they will deposit.
· Backup for client case entry into Pre-employment software.
· Creating client billing spread sheets as needed.
· Create internal billing spreadsheet for monthly billings.
· Responsible for sending Accounts Receivable statements and collection calls
· Entering new orders for clients as needed.
· Responsible for password resets in Pre-employment software & assisting clients with login as needed.
· Assist in company projects such as creating new documents, postcards and other company projects as directed by the supervisor.
· Maintain a working knowledge of required job duties of other staff members to enable you to effectively fill in for absent office personnel as needed.
